Geita Gold Mining Ltd (GGML) is Tanzania’s leading gold producer with a single operation in Geita Region. EMPLOYMENT STATUS Full Time
OBJECTIVE OF THE ROLE
Provide high-level professional, technical, and administrative assistance to the Manager, HR Operations Support to manage and optimize administration services across all departments, ensure operational efficiency, rigorous cost control, robust HSE and policy compliance, effective contractor performance management, and accurate database and records management, with vigilant invoice verification and budget control to mitigate value leakage.
ROLE ACCOUNTABILITIES
- Adhere to GGML HSE standard requirements and champion safety across administrative areas.
- Monitor contractors for alignment with site safety performance metrics and participate in incident or accident investigations related to contractor breaches.
- Manage and evaluate performance of core HR Administration contractors, including staff transportation, catering and canteen services, cleaning and laundry, and commissary services.
- Conduct monthly contractor performance review meetings, document outcomes, track action items, and close actions.
- Create and maintain control mechanisms to verify work completed before processing service provider payments on SAP.
- Design, manage, and update key administrative systems and databases, including the meal control system and the exit Social Security Fund Tracking Database.
- Ensure meticulous record-keeping and maintain audit-readiness of all operational and compliance documentation.
- Support preparation, monitoring, and execution of Opex and Capex budgets for HR Operations Support.
- Maintain updated expenditure databases for each service provider and analyze cost drivers to align actual monthly costs with forecasts.
- Supervise day-to-day administrative operations including staff bus transportation services, fleet tracking system compliance, route and timetable inspections, and meal tracking systems and deliveries.
- Intervene in service delays or operational challenges, provide guidance on complex cases, and escalate unresolved or sensitive matters to the Manager, HR Operations Support.
- Oversee compilation, inspection, and verification of compulsory social security contributions, voluntary schemes administration, and claims processing.
- Manage verification, production, and issuance of employees’ and dependents’ medical cards.
- Maintain 100% accuracy of the exit Social Security Fund Database.
- Ensure zero cost leakage and timely processing of verified service provider invoices on SAP, aligning actual spend within ±5% of monthly budget forecasts.
- Scrutinize invoices submitted by service providers against work done and advise the direct manager of any anomalies prior to processing.
- Plan, review, and monitor bus transport schedules for staff transportation.
- Plan, review, and monitor food menu implementation for staff meals and meal control systems.
- Effectively supervise staff transport services to optimize fleet route utilization, ensure adherence to schedules, and resolve delays promptly.
- Process social security and medical card matter in a timely and considerate manner to achieve high internal customer satisfaction.

ROLE REQUIREMENTS
Minimum Qualifications Required
- First degree in business administration, Human Resources Management, Public Administration, or equivalent tertiary qualification.
- Any non-degree qualification supported by extensive relevant experience in managing large-scale staff transportation and/or catering and cleaning services for sizable groups.
Relevant Experience Required
- 3 to 5 years of working experience in Senior Administration, Contract Management, or Logistics role within a large company.
- Prior experience in a heavy industry or multinational mining environment is highly preferred.
- Demonstrated expertise in managing staff transportation logistics, coordinating catering and cleaning services, and processing social security and insurance claims.
Knowledge & Skills
- Strong understanding of HSE compliance within administrative and contractor-managed environments.
- Contractor performance management across transportation, catering and canteen, cleaning and laundry, and commissary services.
- Invoice verification, SAP processing, and cost control mechanisms to prevent value leakage.
