Responsibilities or duties,

Personnel File Creation: Establish and maintain comprehensive physical and digital personnel files for all employees, interns, and volunteers from the date of onboarding.

Confidential Document Handling: Securely store and manage sensitive HR documents, including contracts, medical records, disciplinary reports, and performance evaluations, ensuring strict confidentiality.

Leave and Attendance Tracking: Update staff files with monthly leave balances, attendance records, and timesheets to ensure accurate tracking for payroll processing.

Compliance Monitoring: Regularly audit HR files to ensure they contain all mandatory documents (e.g., certificates, IDs, PIN/VAT numbers, and passport photos) required by Tanzanian labor law.

Lifecycle Updates: Process and file documentation related to staff changes, including promotions, transfers, salary adjustments, and end-of-contract separation forms.

File Retrieval Service: Act as the central point of contact for authorized staff requesting access to HR files, maintaining a log of who accessed which file and when.
