Assistant Purchasing Manager
Department: Purchasing
Reports To: Purchasing Manager / Financial Controller
Job Purpose
Assist in planning, coordinating, and managing the procurement of goods and services required for hotel operations while ensuring quality, cost-effectiveness, and compliance with procurement policies.
Key Responsibilities
- Assist in managing the hotel's purchasing activities.
- Source qualified suppliers and obtain competitive quotations.
- Negotiate prices, delivery schedules, and contract terms with vendors.
- Prepare and process purchase orders in accordance with hotel procedures.
- Monitor supplier performance and maintain good business relationships.
- Ensure timely procurement of food, beverages, operating supplies, equipment, and services.
- Coordinate with department heads to determine purchasing requirements.
- Monitor inventory levels and recommend reorder quantities.
- Verify that purchased goods meet quality and specification requirements.
- Assist in preparing procurement budgets and cost analyses.
- Ensure compliance with company procurement policies and audit requirements.
- Maintain accurate purchasing records, supplier files, and contracts.
- Assist during supplier evaluations and procurement audits.
- Perform other duties assigned by the Purchasing Manager.
Qualifications
- Bachelor's Degree or Diploma in Procurement and Supply Chain Management, Business Administration, Logistics, or a related field.
- Relevant experience in purchasing or procurement, preferably within the hospitality industry.
- Professional procurement certification (CIPS, CPSP, or equivalent) is an added advantage.
