Assistant Purchasing Manager

Department: Purchasing

Reports To: Purchasing Manager / Financial Controller

Job Purpose

Assist in planning, coordinating, and managing the procurement of goods and services required for hotel operations while ensuring quality, cost-effectiveness, and compliance with procurement policies.

Key Responsibilities

  • Assist in managing the hotel's purchasing activities.
  • Source qualified suppliers and obtain competitive quotations.
  • Negotiate prices, delivery schedules, and contract terms with vendors.
  • Prepare and process purchase orders in accordance with hotel procedures.
  • Monitor supplier performance and maintain good business relationships.
  • Ensure timely procurement of food, beverages, operating supplies, equipment, and services.
  • Coordinate with department heads to determine purchasing requirements.
  • Monitor inventory levels and recommend reorder quantities.
  • Verify that purchased goods meet quality and specification requirements.
  • Assist in preparing procurement budgets and cost analyses.
  • Ensure compliance with company procurement policies and audit requirements.
  • Maintain accurate purchasing records, supplier files, and contracts.
  • Assist during supplier evaluations and procurement audits.
  • Perform other duties assigned by the Purchasing Manager.

Qualifications

  • Bachelor's Degree or Diploma in Procurement and Supply Chain Management, Business Administration, Logistics, or a related field.
  • Relevant experience in purchasing or procurement, preferably within the hospitality industry.
  • Professional procurement certification (CIPS, CPSP, or equivalent) is an added advantage.
