Job summary
The Logistics Manager will report to the General Manager and will be responsible for the overall coordination, execution, monitoring, and guidance of import and export operations.
The job holder will serve as the focal person in supply chain operations and will liaise with the administration, finance, and procurement teams on all matters related to logistics, movement of goods, and other administration-related functions as may be assigned from time to time.
Key duties and responsibilities
The Logistics Manager will be responsible for the following duties:
- Receive and manage shipping instructions from the Head Office and follow up with responsible teams to ensure that shipment stuffing is correctly done according to standard requirements.
- Arrange and follow up on customs clearance for imports and exports by liaising with clearing agents and shipping lines, and arrange warehousing and delivery in accordance with customs law.
- Continuously liaise with government bodies and agencies that provide Pre-Export Verification of Conformity to Standards (PVoC) for imports and exports.
- Prepare requests and arrange inspections for imports and exports that require a Certificate of Conformity (CoC), while liaising with agencies responsible for issuing certificates confirming that products comply with local or approved international standards.
- Ensure regular and continuous follow-up on the editing and approval of shipping documents, including: Waybills, Bills of Lading, Commercial invoices, Relevant certificates.
- Liaise with shipping lines and forwarders to ensure that shipping documents are correct, complete, and prepared in accordance with established international commercial standards and terms, including INCOTERMS, before dispatch to respective consignees.
- Prepare correspondence to different government agencies where necessary for any import or export that requires approval or permission.
- Arrange the processing of Customs Bonds and prepare annual Customs Bond renewals whenever they are due for temporarily imported tobacco.
- Oversee and prepare final accountability for temporarily imported tobacco for submission to agencies after the entire consignment has been fully re-exported and after the retirement of the Customs Bond/CB10A.
- Liaise with managers on matters related to: Processing permission for the importation of tobacco inputs such as fertilizers and chemicals; Annual tobacco sponsorship applications for submission to the concerned Ministry; Submission of forecasts and targets for government compilation of Gross Domestic Product (GDP).
- Support and liaise with the Administration/Finance department for continuous follow-up on all insurance company policies undertaken, including: Comprehensive motor insurance, Workers’ compensation, Money and fidelity insurance, Goods in transit insurance, Industrial all-risk insurance.
- Ensure that all insurance policies are updated and that all lodged claims are honored on time.
- Provide overall supervision and training of logistics staff on all issues related to supply chain operations in the company.
- Liaise with sister companies for logistical support and related supply chain operations and management.
- Manage customs declarations in liaison with clearing agents.
- Continuously follow up on import and export shipments by ensuring that Customs provides manifest updates for all shipments as they arrive on time, in order to avoid over-accrued demurrage charges.
- Liaise with Administration/Finance to ensure that any licenses related to company operations are up to date or renewed where applicable, and that license fees are paid on time.
- Perform all other duties as and when assigned by the management.
Required qualifications and experience
Applicants should meet the following requirements:
- Degree in Business Administration or its equivalent in a related field.
- At least five years of hands-on, demonstrated technical and professional working experience in providing technical programmatic or logistic management support.
- Experience in supply chain management within the private sector.
- Good knowledge of universally and internationally recognized trading terms developed by the International Chamber of Commerce, used for the purchase and shipping of goods in the international marketplace.
- Knowledge in: Financial management, Procurement, Project management, Logistics.
- Improved skills in coordination, supervision, and monitoring of related operational activities in supply chain management within the private sector.
- Good communication skills.
- Good computer skills.
- Willingness to work extra hours as and when required.
- Valid driving license.
