About the job
The Transport and Logistics Officer is responsible for planning, coordinating, and executing all logistics and export activities for organic cashew products. This includes managing shipment processes, export documentation, compliance with organic certification requirements, and coordination with shipping agents, certification bodies, laboratories, and regulatory authorities
The Transport and Logistics Officer will be required to relocate to Kisemvule, Pwani.
Responsibilities
Export Logistics Coordination:
- Arrange and book containers and shipping space with freight forwarders and shipping lines
- Coordinate shipment schedules to meet customer delivery timelines
- Monitor cargo movement from factory to port and ensure timely loading
- Ensure proper container stuffing and sealing in compliance with export standards
Export Documentation Management:
- Prepare and manage all export documentation accurately and on time, including:
- Bill of Lading (BOL)
- Commercial Invoices
- Packing Lists
- Export permits
- Ensure compliance with country-specific import/export regulations
Organic Export Compliance:
- Manage all organic certification export requirements, including:
- Certificate of Inspection (COI)
- TRACES (Trade Control and Expert System) documentation
- Liaise with organic control bodies for approvals and inspections
- Maintain records of certified organic shipments
- Ensure traceability and compliance with EU and other organic standards
Regulatory Certificates & Compliance:
- Arrange and coordinate issuance of required export certificates:
- Phytosanitary Certificates
- Fumigation Certificates (if required)
- Atomic Radiation Certificates
- Ensure compliance with Tanzanian and international export regulations
Sampling & Laboratory Coordination:
- Coordinate sampling of cashew products for quality and compliance testing
- Arrange shipment of samples to approved laboratories (local or international)
- Track test results and ensure timely reporting
- Maintain documentation of lab results for certification and client requirements
Communication & Coordination:
- Act as the main point of contact between:
- Shipping agents and freight forwarders
- Certification bodies (organic control agencies)
- Government authorities (e.g., TBS, Plant Health Services)
- Customers and internal departments
- Provide regular shipment updates and resolve any logistics issues
Transport Management (Local Logistics):
- Coordinate inland transportation of goods to port
- Ensure efficient scheduling of trucks and delivery timelines
- Monitor transport costs and optimize logistics efficiency
Record Keeping & Reporting:
- Maintain organized records of all shipping and compliance documents
- Prepare periodic reports on shipment status, costs, and performance
- Ensure proper filing for audit and certification purposes
RCN Transport Coordination (Village to Warehouse)
- Plan and coordinate collection of Raw Cashew Nuts (RCN) from villages, buying centers, and suppliers
- Organize and schedule transport (trucks, pickups) to ensure timely delivery to the processing facility
- Liaise with field officers, buying agents, and suppliers to align collection schedules
- Monitor transport conditions to prevent quality deterioration (moisture, contamination, losses)
- Ensure proper documentation of received quantities at each collection point
- Track and control transport costs and optimize routing efficiency
- Ensure compliance with traceability requirements for organic certification
Warehouse Inventory Management:
- Manage and monitor inventory of:
- Raw Cashew Nuts (RCN)
- Processed cashew kernels
- Packaging materials:
- Maintain accurate inventory records (manual and/or digital systems)
- Conduct regular stock counts and reconciliations
- Ensure proper storage conditions (humidity, ventilation, pest control) especially for organic products
- Implement FIFO (First-In-First-Out) or FEFO (First-Expired-First-Out) principles where applicable
- Ensure segregation of organic and non-organic products in compliance with certification requirements
- Coordinate with production and sales teams to ensure stock availability for processing and export
Goods Receiving & Dispatch Control:
- Supervise receiving of RCN at the warehouse and verify quantities and quality
- Ensure proper weighing, recording, and documentation of incoming goods
- Oversee dispatch of finished goods for export
- Ensure correct labeling, packaging, and palletization according to export standards
Traceability & Compliance:
- Maintain full traceability from farmer/village level to export shipment (critical for organic certification)
- Ensure all batch records are properly documented and linked to export consignments
- Support audits by certification bodies and regulatory authorities
Loss Prevention & Quality Control (Logistics Scope):
- Monitor and minimize post-harvest losses during transport and storage
- Ensure adherence to quality standards during handling and storage
- Report any damage, losses, or discrepancies promptly
Requirements
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or related field
- Minimum 3–5 years’ experience in export logistics, preferably in agro-products or food processing
- Experience with organic certification processes is highly desirable
- Strong knowledge of:
- Export procedures and international shipping
- EU Organic certification systems (COI, TRACES)
- Documentation requirements for agricultural exports
- Proficiency in MS Office and logistics management systems
- Strong organizational and coordination skills
- Attention to detail and accuracy in documentation
- Good communication and negotiation skills
- Ability to work under pressure and meet tight deadlines
- Problem-solving mindset
- Familiarity with Tanzanian export regulations and port procedures
