About the job

We are looking for a sharp, hardworking, and detail-oriented Tendering & Price Sourcing Officer who can support the company in identifying tender opportunities, sourcing accurate prices locally and internationally, preparing competitive quotations, and writing complete bidding documents for advertised tenders.

The ideal candidate must understand how to search prices in Kariakoo, local suppliers, wholesalers, distributors, and overseas suppliers, while also being capable of preparing professional tender submissions that comply with client requirements.

Responsibilities

Price Sourcing & Market Research:

The officer will be responsible for collecting accurate and competitive prices from the market before Innovo submits any tender or quotation.

Main duties include:

  • Visit or contact suppliers in Kariakoo, Dar es Salaam, and other local markets to obtain current prices.
  • Source prices from local manufacturers, importers, wholesalers, and authorized distributors.
  • Contact overseas suppliers by email, WhatsApp, Alibaba, Global Sources, direct manufacturer websites, and other sourcing platforms.
  • Request formal quotations, product specifications, brochures, delivery timelines, and payment terms from suppliers.
  • Compare prices from different suppliers and prepare a price analysis for management.
  • Confirm product availability, quality, warranty, brand, origin, packaging, and delivery conditions.
  • Negotiate prices and terms with suppliers to help Innovo submit competitive bids.
  • Maintain a database of reliable local and international suppliers.

Tender Document Preparation:

The officer must be able to prepare complete and professional bidding documents for advertised tenders.

Main duties include:

  • Read and analyze tender documents carefully.
  • Identify tender requirements, eligibility criteria, technical specifications, submission deadlines, and required attachments.
  • Prepare bid forms, price schedules, compliance sheets, company profiles, technical responses, and administrative documents.
  • Ensure all tender documents are complete, signed, stamped, and arranged properly before submission.
  • Prepare both physical and electronic tender submissions where required.
  • Follow up on clarifications, addendums, tender opening dates, and evaluation updates.
  • Ensure organization’s bids comply with all instructions given by the procuring entity.
  • Work closely with management to prepare competitive pricing and strong commercial proposals.

Supplier & Product Verification:

The officer will help the Company to avoid wrong pricing, poor quality goods, and unreliable suppliers.

Main duties include:

  • Verify supplier credibility before recommending them.
  • Confirm whether products meet the tender technical specifications.
  • Request samples where necessary.
  • Compare brands, models, warranty terms, and country of origin.
  • Check whether products require special certifications, catalogues, datasheets, or compliance documents.
  • Maintain records of supplier quotations and communications.

4. Costing & Bid Pricing Support

The officer must support the company in preparing realistic bid prices.

  • Prepare landed cost calculations where goods are imported.
  • Include transport, clearing, taxes, duties, delivery, storage, insurance, and other related costs.
  • Support preparation of profit margin calculations.
  • Help management decide the most competitive but profitable bid price.
  • Prepare simple Excel price comparison sheets and costing summaries.

5. Tender Monitoring & Opportunity Tracking

  • Monitor tender opportunities from government, NGOs, private companies, UN agencies, and donor-funded projects.
  • Track opportunities from TANePS, newspapers, websites, emails, and supplier portals.
  • Maintain a tender calendar showing deadlines, submission dates, bid securities, site visits, and clarification dates.
  • Alert management on suitable tenders that match Company’s licenses, experience, and capacity.

Requirements

  • Diploma or Bachelor’s degree in Procurement, Business Administration, Logistics, Supply Chain, Marketing, International Trade, or related field.
  • At least 1–3 years of experience in tendering, procurement, sourcing, sales support, or supplier coordination.
  • Experience in writing bidding documents will be a strong advantage.
  • Knowledge of TANePS and public procurement procedures will be an added advantage.
  • Experience sourcing from Kariakoo and overseas suppliers will be highly preferred
  • Strong knowledge of Kariakoo market, Dar es Salaam suppliers, and local wholesale pricing.
  • Ability to source products from overseas suppliers.
  • Good understanding of tendering procedures and bidding documents.
  • Good English writing skills for preparing bid documents and supplier emails.
  • Strong negotiation skills.
  • Good computer skills, especially Microsoft Word, Excel, email, and PDF handling.
