Background
This position is based in the Tanzania Country Office (CO) in Dar es Salaam. The job holder reports to the SO1 Activity Manager and provides support to Activities 1 and 2. The role requires close collaboration with other units, including Budget and Programming (BPU), Finance, RAM, and Supply Chain. The incumbent is expected to work with minimal supervision, perform basic analyses, and compile reports to ensure information accuracy and consistency across programme activities.
JOB PURPOSE
To provide administrative support to the Activity 1 and 2 Managers by ensuring timely and accurate reporting, effective data management, and analysis that contribute to smooth implementation and informed decision‑making.
KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive)
- Provide backstopping support for Activity 1 and Activity 2, ensuring timely follow‑up on agreed deadlines and smooth implementation.
- Support the coordination of meetings, workshops, and trainings, including preparation of materials, communication with participants, and processing participant payments.
- Assist with data collection, data entry, analysis, and the preparation of summaries or reports as required.
- Arrange and schedule meetings, prepare agendas, and take accurate and well‑structured meeting minutes.
- Follow up on action points with relevant staff to ensure timely completion of tasks and adherence to deadlines.
- Contribute to the preparation of corporate and programme reports, including drafting inputs and organizing documentation.
- Maintain proper filing (electronic and physical) and provide general administrative support for daily office operations.
- Coordinate with other internal functions—such as Supply Chain, BPU, and Sub‑Offices—to support programme operations.
- Facilitate communication and operational activities with local partners, agencies, NGOs, and government counterparts.
- Support additional tasks and programme activities as required.
DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE
- Prior exposure to administrative or programme support work through internships, volunteering, or university projects.
- Experience in data collection, data entry, or basic data analysis, preferably using tools such as Excel or other data management systems.
- Experience supporting the organization of meetings, workshops, trainings, or community activities.
- Involvement with student organizations, NGOs, or community initiatives demonstrating teamwork and organizational skills.
STANDARD MINIMUM ACADEMIC QUALIFICATIONS
Education:
Currently enrolled in or recently graduated (within the last 6–12 months) from a bachelor’s degree in Business Administration, Public Administration, Social Sciences, Economics, Development Studies, or related fields.
Experience
No formal work experience required, in line with internship norms. However, some prior exposure (through volunteer work, university projects, or part‑time roles) is desirable in the following areas:
- Administration or office coordination
- Data collection or data entry
- Report drafting or academic research
- Working with NGOs, community organizations, or student associations
Language:
- Fluency in English (written and spoken) is required.
- Knowledge of Kiswahili is essential for communication with local partners, government counterparts, and field operations.
