Job Summary

CNS Group is seeking a detail-oriented and highly accurate Data Clerk for a large scale sugarcane estate development project in Morogoro. The role is responsible for collecting, capturing, verifying, organising, and maintaining accurate operational data from field activities, stores, and departmental records to support management reporting, KPI monitoring, and data driven decision making across the project. The ideal candidate should possess strong data entry skills, advanced MS Excel proficiency, and the ability to work accurately and efficiently in a fast-paced project site environment.

Key Responsibilities

  • Collect daily field data including area cleared, roads graded, drains excavated, and labour deployed, ensuring all information is gathered accurately and on time from all relevant field teams.
  • Capture field data accurately into Excel spreadsheets, MIS databases, or project management software, ensuring all entries are complete, consistent, and error free at all times.
  • Verify the completeness and accuracy of all source documents including tally sheets, fuel records, attendance registers, and Goods Received Notes before data entry and submission.
  • Prepare daily, weekly, and monthly MIS progress reports for the Project Manager, ensuring all reports are clearly structured, accurately compiled, and submitted within required timelines.
  • Maintain the project data register tracking physical and financial progress across all departments, ensuring all records are current, accurate, and accessible to authorised users at all times.
  • Generate summary tables, charts, and dashboards from project data to support management reporting, KPI monitoring, and data driven operational decisions.
  • File and archive all source documents in both physical and digital formats, maintaining an organised and easily retrievable document management system throughout the project lifecycle.
  • Follow up with supervisors, surveyors, and store staff on missing, incomplete, or inconsistent data to ensure all project records are complete and fully reconciled on a daily basis.
  • Support the preparation of board reports, donor reports, and statutory submissions by providing accurate and well organised data extracts and supporting documentation as required.
  • Maintain strict confidentiality of all project data and financial information, flagging any data inconsistencies or irregularities to the Project Manager promptly.

Qualifications & Requirements

  • Form VI certificate or Diploma in Information Technology, Business Administration, Statistics, or a related field is preferred.
  • Minimum 3 to 5 years of experience as a Data Clerk, MIS Officer, or Administrative Clerk on projects is preferred.
  • Demonstrable advanced MS Excel proficiency including pivot tables, VLOOKUP, XLOOKUP, charts, and data validation is preferred.
  • Proficiency in MS Word and PowerPoint for report formatting and presentation preparation is recommended.
  • Fast and accurate data entry skills with strong attention to detail are recommended.
  • Good written and spoken English and Kiswahili communication skills are recommended.
  • Ability to work independently, meet daily reporting deadlines, and manage multiple data streams simultaneously is recommended.
  • Experience in estate, NGO, or construction project MIS operations is an added advantage.
