The successful candidate will play a key role in building operational systems, administrative structures, and support processes from the ground up.

Responsibilities
- Manage daily office activities and ensure smooth administrative operations.
- Maintain organized filing systems for vehicle records, customer documents, import paperwork, and company correspondence.
- Handle incoming calls, emails, and visitors professionally.
- Monitor office supplies and coordinate procurement when needed.
- Ensure all vehicle documents such as invoices, inspection reports, customs papers, and registration documents are complete and properly filed
- Prepare, verify, and maintain import documentation for Japanese vehicles.
- Assist in processing customer payments and maintaining accurate financial records related to vehicle sales.
- Maintain professional relationships with customers and provide timely follow-up support
- Maintain updated databases for vehicles in stock, sales records, customer information, and import transactions.
- Ensure company operations comply with local regulations related to vehicle importation and business administration
- Support management in implementing administrative procedures and operational improvement
- Assist in payroll preparation by compiling attendance, leave, overtime, and other employee data
- Serve as the first point of contact for routine employee administrative inquiries.
- Ensure accuracy and confidentiality of company data and records.
Requirements
- Diploma or Bachelor’s degree in Business Administration, Human Resource Management, Office Management, Logistics, or related field.
- Proven experience in administration, preferably in automotive, import/export, or trading industry.
- Strong organizational, communication, and multitasking skills
- Proficiency in Microsoft Office and record-management systems.
- Attention to detail, reliability, and ability to work under pressure
