Paveway African Limited on behalf of our client is looking for an Office Coordinator who will play a vital role in ensuring that the administrative activities within an organization run efficiently. They are primarily responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency.

Responsibilities

  • To oversee and support all administrative duties in the office and ensure that office operations are managed smoothly.
  • Coordinate space planning and office organization, including the maintenance and alteration of office areas and equipment.
  • To provide direct administrative supports as needed, including scheduling appointments, meetings, and events, booking travel, and managing email correspondence.
  • Develop and maintain a filing system, and ensure security, integrity, and confidentiality of data.
  • Maintain a safe and secure working environment.
  • Liaise with facility management vendors, including cleaning, catering, and security services.
  • Assist in the coordination of staff as necessary to solve administrative issues.
  • To Assist with budget preparation and expense management activities for office supplies and other items.
  • To prepare and update expense reports and requisitions.
  • To coordinate HR projects, meetings, and training seminars.
  • To assist in the recruitment process by scheduling job interviews and managing correspondence with candidates.

Qualifications

  • 2+ years of Experience as an Office Manager, Front Office Manager, or Administrative Assistant.
  • Excellent time management skills.
  • Ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills in a fast-paced environment.
  • A creative mind with an ability to suggest improvements.
