Descriptions

The Manager, Opex and Centralized Stationeries is responsible for overseeing the bank’s operating expenditure framework, budgeting, monitoring, and cost-control structures, as well as managing centralized stationery inventory. The role ensures prudent cost management, availability of stationery supplies, efficient distribution, and proper controls over administrative consumables across all branches and departments.

Responsibilities

Opex Budgeting & Monitoring

  • Lead preparation of the annual Opex budget.
  • Monitor Opex utilization and ensure expenses remain within approved limits.
  • Provide monthly variance analysis with recommendations for cost optimization.
  • Support departments in preparing realistic cost plans and forecasts.

Cost Control & Optimization

  • Implement cost-saving initiatives focusing on overheads, utilities, leases, communication, and administrative costs.
  • Track cost drivers and identify trends affecting the bank’s expense base.
  • Ensure compliance with cost management policies and delegation of authority limits.

Stationery & Consumables Management

  • Oversee centralized procurement, storage, and distribution of stationery and office consumables.
  • Maintain stock levels and ensure timely supply to branches and departments.
  • Develop and implement effective inventory control systems.
  • Maintain accurate stock registers and minimize wastage or losses.

Vendor & Procurement Coordination

  • Coordinate with the procurement unit on sourcing of stationery.
  • Ensure quality, timely delivery, and value-for-money acquisition of consumables.
  • Monitor supplier performance and address service issues.

Reporting & Analytics

  • Prepare monthly Opex reports for management.
  • Develop dashboards for expense tracking and cost-efficiency analysis.
  • Provide insights into expenditure trends and cost pressures.

Compliance & Internal Controls

  • Maintain proper documentation for expense approvals and payments.
  • Ensure audits of stationery stockrooms and Opex areas are regularly conducted.
  • Implement corrective actions for audit findings.

Process Improvement

  • Streamline Opex monitoring and stationery distribution processes.
  • Drive automation and adoption of inventory management tools.
  • Improve efficiency in cost-related workflows.

Collaboration & Communication

  • Work closely with branches, departments, and procurement teams.
  • Communicate Opex policies and stationeries procedures.
  • Provide guidance to staff on cost management.

OTHER RESPONSIBILITIES:

Any other duties as may be assigned by the Head of Finance and Strategy.

Requirements

Education:

  • Bachelor’s degree in Finance, Accounting, Procurement, or related field.
  • Professional qualification (CPA/ACCA/CPSP) is an added advantage.

Experience:

  • Minimum 3–5 years in budgeting, cost management, or supply management.
  • Experience in inventory control and administrative support preferred.

Technical Skills:

  • Strong budgeting, analytics, and reporting skills.
  • Knowledge of inventory management systems.
  • Strong understanding of Opex cost structures.

Soft Skills:

  • High attention to detail and strong organizational skills.
  • Excellent communication and teamwork abilities.
  • Integrity, diligence, and ability to work under pressure.
