Job Purpose

The Administration Officer is responsible for managing and overseeing day-to-day administrative operations to ensure the smooth and efficient functioning of the organization. This role involves coordinating office activities, maintaining records, managing correspondence, and supporting multiple departments to enhance operational performance.

Key Responsibilities

* Oversee daily office operations, including supplies, facilities, and maintenance
* Maintain accurate and updated records, files, and documentation
* Draft, review, and distribute internal communications and official correspondence
* Manage and maintain office equipment (e.g., printers, copiers)
* Provide administrative support to HR and Finance teams, including staff records and expense reports
* Organize meetings, appointments, and travel logistics
* Supervise and monitor office staff (if applicable)
* Ensure compliance with company policies and administrative protocols
* Professionally handle incoming/outgoing mail, calls, and inquiries
* Assist in planning company events, training sessions, and workshops
* Prepare regular administrative and operational reports
* Support management and other departments as needed

Qualifications and Skills

* Bachelor’s degree or diploma in Business Administration, Office Management, or a related field
* Proven experience in a similar administrative role
* Excellent organizational and time-management skills
* Strong verbal and written communication skills
* Proficiency in MS Office Suite (Word, Excel, PowerPoint)
* Ability to multitask and prioritize under minimal supervision
* High attention to detail and strong problem-solving skills
* Knowledge of office management procedures and best practices
* A collaborative team player with a positive attitude
