Job Description:

Department: Workshop

Reports To: Workshop Supervisor

Job Summary:

The Workshop Records Clerk will maintain accurate and up-to-date records of workshop maintenance, repairs, servicing, equipment history, and related documentation. The role supports efficient workshop operations by ensuring job cards, service schedules, maintenance data, and reports are properly recorded and easily accessible.

Key Responsibilities:

  • Maintain accurate records of equipment servicing, repairs, breakdowns, and preventive maintenance.
  • Prepare, update, and file workshop job cards, maintenance schedules, and equipment service histories.
  • Record parts used, labour details, equipment downtime, and completed maintenance activities.
  • Monitor scheduled service intervals and flag equipment due for maintenance.
  • Enter workshop information accurately into spreadsheets or maintenance-management systems.
  • Prepare daily, weekly, and monthly workshop records and reports as required.
  • Maintain organized physical and electronic filing systems for workshop documentation.
  • Coordinate with mechanics and other workshop personnel to ensure maintenance records are complete and accurate.

Qualifications & Requirements:

  • Certificate or Diploma in Records Management, Business Administration, Logistics, Automotive/ Mechanical Engineering, or a related field.
  • Minimum 2 years of relevant experience in records, workshop administration, fleet maintenance support, or a similar role.
  • Previous experience in an agricultural machinery, automotive, fleet, or heavy-equipment workshop is an added advantage.
  • Good computer skills, particularly Microsoft Excel and Word.
  • Good understanding of job cards, service schedules, maintenance records, and basic workshop documentation.
  • Strong attention to detail, record-keeping, organizational, and communication skills.
  • Ability to maintain accurate records and work effectively in a busy workshop environment.
