Role Summary
Head of Customs Declaration will prepare and submit customs declarations, coordinate clearance of imported materials, support logistics operations and assist business development by liaising with suppliers and clients on shipment status and requirements.
Key Responsibilities
- Prepare and submit customs declarations and documentation for imports/exports in line with TRA and customs procedures.
- Coordinate with customs agents, clearing agents and the company’s procurement team to ensure timely clearance of raw materials and spare parts.
- Track shipments (AWB/BL) and update operations and procurement on ETAs, delays and clearance issues.
- Liaise with suppliers, transporters and clients to resolve documentation queries and expedite delivery.
- Maintain accurate customs and import/export records, filing receipts and certificates for audits.
- Ensure correct classification, valuation and duty treatment of goods; advise on documentation required for exemptions or special regimes.
- Support warehouse and production teams with inbound delivery schedules and documentation handovers.
- Assist in preparing import cost estimates (landed cost), and advise on clearance fees, duties and taxes.
- Participate in process improvement to reduce clearance time and costs.
- Provide basic client support related to shipment status and documentation needs.
Qualification & Experience
- Diploma or degree in Logistics, Supply Chain, International Trade, Commerce or related field preferred.
- 5 and Above years in customs clearance, freight forwarding, import/export documentation or logistics operations.
- Experience with Tanzanian customs processes is an advantage.
- Familiar with TRA e-systems, customs documentation (C88/C75 equivalents), HS codes, duties and import procedures.
- Competent with MS Office (Excel, Word) and shipment tracking systems; ability to learn e-Customs portals.
- Good written and verbal English/Swahili; able to liaise professionally with clients and authorities.
- Accurate document preparation and record keeping.
- Able to resolve clearance issues and propose practical solutions under time pressure.
- Works well with procurement, operations, warehouse and sales teams.
