Background
The Finance and Administration Officer will be responsible for supporting financial management, administration, procurement, compliance, and operational coordination. The role requires strong attention to detail, integrity, and the ability to maintain accurate and audit-ready records.
Key responsibilities include:
- Track project expenditure and prepare monthly and quarterly financial reports.
- Process payments, reimbursements, and stipends for staff, facilitators, and vendors.
- Enforce internal controls around receipts, approvals, and reconciliations.
- Maintain payroll, contracts, and personnel records.
- Manage procurement processes and maintain accurate documentation.
- Conduct inventory and asset tracking across project sites.
- Prepare and update budget forecasts in coordination with the Programs Manager and Executive Director.
- Maintain audit-ready financial documentation and support external reviews.
- Ensure timely compliance with tax filings and NGO regulatory reporting.
- Coordinate travel logistics and arrangements for field staff.
Qualifications or requirements:
Applicants should have the required academic background, professional qualifications, and practical experience in finance and administration, preferably within an NGO or donor-funded project environment.
The ideal candidate should have:
- A degree or diploma in Accounting, Finance, Business Administration, or a related field.
- Prior experience in financial or administrative management, ideally with an NGO or donor-funded project.
- Minimum of 3 years’ experience in a similar role.
- Chartered Professional Accountant (CPA) qualification.
- Proficiency in accounting software, such as QuickBooks.
- Strong organisational skills and attention to detail.
- Proficiency in Excel and financial record-keeping.
- High integrity and ability to work independently.
