The Assistant Lodge Manager actively supports the Lodge Manager in overseeing the daily operations and overall success of a small, intimate lodge. This highly hands-on and versatile role involves assisting in ensuring exceptional guest experiences, maintaining high operational standards, and effectively managing all lodge departments. The Assistant Lodge Manager is crucial in deputizing for the Lodge Manager in their absence and contributing to the consistent achievement of Key Performance Indicators (KPIs) across various operational and guest satisfaction metrics.

Responsibilities or duties

Key Responsibilities

Guest Experience & Relations:

  • Ensure all guests receive personalized, warm, and attentive service from arrival to departure, in line with lodge standards.
  • Actively engage with guests, anticipate needs, and gather feedback, escalating significant issues to the Lodge Manager.
  • Assist in handling guest inquiries, requests, and complaints promptly and professionally, ensuring satisfactory resolution.
  • Oversee daily guest activities, dining experiences, and special arrangements as directed.

Operational Management:

  • Support the Lodge Manager in supervising and coordinating all lodge departments, including Front Office, Food & Beverage, Housekeeping, and Maintenance.
  • Assist in the implementation and monitoring of standard operating procedures (SOPs) for all operational areas.
  • Ensure the highest standards of cleanliness, hygiene, and maintenance are upheld across the entire property.
  • Assist in managing inventory, procurement, and stock control for all lodge supplies.

Financial Oversight & KPI Contribution:

  • Manage daily financial transactions, including cash handling, invoicing, and petty cash, under the Lodge Manager’s guidance.
  • Assist the Lodge Manager in monitoring budgets, controlling costs, and identifying opportunities to optimize revenue streams.
  • Prepare basic financial reports and ensure accurate record-keeping.
  • Actively contribute to efforts to consistently meet or exceed set monthly KPIs, including but not limited to: Occupancy rates, number of day rooms sold, total number of meals served, number of massages sold, and TripAdvisor review collection.

Maintenance & Facilities:

  • Oversee and perform minor maintenance, repairs, and preventative maintenance schedules for all lodge infrastructure, tents/rooms, and equipment.
  • Assist in coordinating with external contractors for specialized repairs when necessary.
  • Ensure all lodge facilities are safe, functional, and aesthetically pleasing.

Health, Safety & Security:

  • Implement and enforce all health, safety, and security protocols for guests and staff as directed by the Lodge Manager.
  • Ensure compliance with local regulations and industry best practices.
  • Assist in handling emergencies and contribute to response plans.

Sales & Marketing Support:

  • Support the Lodge Manager in acting as a local ambassador for the lodge, fostering good relationships with local communities and tour operators.
  • Assist the central sales and marketing team with content, local insights, and guest testimonials.

Qualifications or requirements (e.g., education, skills)

Qualifications

  • Bachelor’s degree or Diploma in Hospitality Management, Business Administration, or related field.

Experience needed

Minimum 3-5 years’ experience in hospitality, with at least 3 years in lodges/hotel management.
