MAIN PURPOSE
Defining, coordinating and monitoring all Warehouse and Stock Management activities in the capital according to MSF protocols, standards and procedures, respecting GSP, GDP standards in order to ensure an optimal running of the mission.
ACCOUNTABILITIES
- Responsible for overall warehouse management activities in coordination, medical and logistics stocks are operating and compliant with MSF standards processes and procedures.
- Ensure warehouse sizing is matching to mission needs, equipment and premises are adapted to the proper storage of goods in compliance with MSF standard on warehouse management.
- Elaborate/participate in Monthly Reports ( stock management/warehouse activity ) shared regularly with line manager and technical supervisors. Data quality have to be monitored in order to provide accurate MSR, SMS and other stock reports.
- Ensuring the safety and the security for goods and people inside and outside the premises under his/her responsibility.
- Ensuring that physical and administrative management of the products inside the warehouse are properly managed in accordance with MSF stock management practices
- Managing warehouse team, organizing, planning, and elaborating warehouse activities on regular basis. Provide technical support, coaching to staff under his/her responsibility.
- Setting specific objectives and conducting appraisals for warehouse team, as per MSF standard.
- Ensuring that administrative management is well explained to team , all required documents (SOPs, Guidelines, flow management, inventories tools, stock managements file, etc…) are updated and communicated to stock owners and relevant departments.
- Ensure accurate and timely reception, storage, and dispatch of medical supplies and equipment as per defined chronograms
- Streamline warehouse operations, optimizing storage space and material handling processes to improve efficiency and reduce costs.
- Participate with team in reception, delivery, picking process, provide support
- in collaboration with stock owners, consumption units to analyse stock data in order to minimize overstocking and reduce volume of sleeping stock, respect of FEFO management
- Performing Inventories on regular basis for mission stocks (twice a year, flash inventories upon needs, requests), also supporting projects during inventories time, implementing standard procedures and processes, communication with the field on reception control of Domestic Orders.
- Responsible for MSF Unified stock management data accuracy, provide analysis , identify problems and propose solution to his/her line manager .
- Continuously monitor warehouse performance metrics (e.g., order accuracy, fulfillment time, stock turnover rate) and make data-driven improvements.
- Registration/ superintendency of pharmaceutical storage premises (Warehouse)
Minimum Educational Qualification:
- Valide pharmacy registration license (not use in another company)- Essential
Specific Accountabilities
o Ensure accurate and timely receipt, storage, and dispatch of medical supplies and equipment.
o Oversee regular cycle counts and full physical inventory audits to maintain stock accuracy.
o Monitor stock levels, ensuring critical items are available, and avoiding both shortages and overstocks.
o Streamline warehouse operations, optimizing storage space and material handling processes to improve efficiency and reduce costs.
o Continuously monitor warehouse performance metrics (e.g., order accuracy, fulfillment time, stock turnover rate) and make data-driven improvements.
Minimum Education Requirement
o Bachelor’s degree in pharmacy with valid Pharmacy License – Essential
Experience:
o Strong knowledge of ERP system, MSF customized ERP system
o Essential working experience of at least two years in relevant jobs and Desirable: humanitarian experience in MSF or any other Humanitarian organizations in medical stock management
o Strong Warehouse management knowledge
o Importation/international shipment knowledge
o Analytical and reporting skills.
Languages:
- Fluent oral and written English and Swahili (speak, read and write)
