Job Purpose
To coordinate the procurement of materials and supplies required by project sites, ensuring timely acquisition, competitive pricing, proper approvals, and timely delivery to the respective sites.
2. Key Responsibilities
A. Site Requirements
- Liaise with Site Project Managers and collect site requirements as a basis for the procurement process.
- Submit site requirements to the AKO Group Ltd Shops & POS Controller for review and approval.
B. Supplier Sourcing and Quotations
- Obtain quotations from suppliers and review and compare prices from different suppliers.
- Negotiate with suppliers to secure competitive prices and favourable terms.
- Conduct regular market surveys of key shop items to monitor market prices and support effective supplier negotiations.
C. Purchase Orders and Approvals
- Issue Local Purchase Orders (LPOs) to approved key suppliers against approved budgets.
- Follow up on Purchase Order approvals throughout the approval workflow.
- Share approved Purchase Orders with the respective suppliers.
- Forward approved Purchase Orders to the Finance Department for suppliers requiring advance payments.
D. Payments and Deliveries
- Follow up on advance payments to suppliers, where applicable.
- Expedite the delivery of materials to the respective project sites.
- Escalate delayed payments to the immediate supervisor.
- Report and escalate delayed deliveries to the immediate supervisor.
E. Reporting
- Prepare weekly, monthly, and quarterly delivery reports for ordered materials.
F. Other Duties
- Perform any other duties assigned by Management from time to time.
3. Qualifications and Experience
Applicants should meet the following requirements:
- Bachelor’s Degree in Procurement and Supplies Management, Supply Chain Management, Logistics, Business Administration, or a related field.
- A professional procurement qualification, such as CIPS, will be an added advantage.
- Good knowledge of procurement procedures and supplier management.
- Good computer skills, particularly in Microsoft Office and Excel.
- A minimum of 2–3 years of relevant experience in procurement or purchasing.
- Experience in sourcing and evaluating suppliers and quotations.
- Experience in supplier negotiations and issuing Local Purchase Orders (LPOs).
- Experience in following up on Purchase Orders, payments, and deliveries.
- Experience working with project sites, construction, mining, or similar environments will be an added advantage.
