Background
Senior Reservations Officer at Planet Lodges is an excellent opportunity for hospitality professionals with strong reservation management experience who are passionate about delivering exceptional guest service. Based in Arusha, the role is responsible for managing reservations across the company’s lodges and camps, ensuring accurate booking administration, maintaining room availability, and providing outstanding support to guests, travel agents, and tour operators.
The successful candidate will coordinate with multiple departments to ensure smooth guest experiences from booking through arrival and departure while supporting revenue growth through effective reservation management and upselling opportunities. This role requires excellent communication skills, strong attention to detail, and experience working with hospitality reservation systems.
Responsibilities
- Handle reservations across all lodges and camps, including FITs, groups, travel agents, and tour operators.
- Process booking confirmations, amendments, cancellations, and guest inquiries accurately and promptly.
- Enter reservation details, guest information, and rates correctly into the reservation system.
- Maintain accurate room inventory and availability records.
- Respond professionally and promptly to emails, telephone calls, and online booking requests.
- Coordinate with Front Office, Sales, and Operations teams to ensure seamless guest arrivals and departures.
- Promote and upsell accommodation packages and additional services where appropriate.
- Communicate reservation details and special guest requests to relevant departments.
- Ensure compliance with company reservation policies, booking procedures, and payment guidelines.
- Prepare daily reservation reports and operational updates.
- Build and maintain strong relationships with travel agents, tour operators, and guests.
- Support the Reservations Manager in achieving departmental objectives and maintaining high service standards.
Qualifications Required
- Diploma or Degree in Hospitality, Tourism, Business Administration, or a related field.
- 4–5 years of experience in reservations, front office, or customer service within the hospitality industry.
- Strong knowledge of reservation systems, with ResRequest experience being mandatory.
- Experience working in safari lodges, camps, hotels, or similar hospitality establishments is preferred.
- Excellent communication and customer service skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple bookings efficiently under pressure.
- Proficiency in Microsoft Office applications, particularly Excel and Outlook.
- Fluency in both written and spoken English.
- Professional attitude with strong teamwork and interpersonal skills.
- Positive mindset and commitment to delivering excellent guest experiences.
