Position Overview:
The Regional Jazastars Administrator is the owner of the Regional Inventory & Contractor Relations management and reports to the Regional Coordinator. The Administrator position will be responsible for managing regional inventory, enforcing the implementation of Inventory management policies and managing the process of inventory request, allocation, shipping and receiving, tracking and monitoring and auditing.
Duties and responsibilities:
Dispatch planning and execution control
- Own daily and weekly dispatch plans aligned to outbound demand and deployment schedules
- Build optimised vehicle loads and assign routes before dispatch windows open
- Cluster deliveries by territory to maximise route density and reduce cost per drop
- Maintain forward visibility of delivery demand and confirm capacity in advance
- Ensure no vehicle departs without confirmed staging, documentation, and system validation
2. Delivery documentation and order integrity
- Validate all outbound documentation before dispatch including delivery notes, serial records, and site details
- Enforce system-based dispatch execution with no reliance on informal communication channels
- Conduct load and label verification to ensure alignment between physical and system records
- Capture real-time dispatch and delivery updates in system tools
- Maintain full integrity between dispatch plan, executed delivery, and recorded outcome
3. Fleet and driver management
- Conduct daily driver and vehicle readiness checks before dispatch
- Monitor all active deliveries in real time using GPS and dispatch tools
- Provide active operational support during delivery execution to resolve issues early
- Manage both internal fleet and 3PL drivers to the same delivery standards
- Conduct structured end-of-day debriefs with full POD and exception closure
4. 3PL and transport partner management
- Track and enforce SLA performance across all 3PL partners
- Confirm vehicle and capacity availability ahead of dispatch cycles
- Document and escalate all partner performance failures with supporting data
- Support cost and performance reviews through route-level insights
- Maintain performance visibility across availability, delivery quality, and compliance
5. Delivery performance and DIFOT management
- Own daily DIFOT performance tracking and reporting
- Identify and separate transport-driven vs upstream delivery failures
- Maintain a structured failed delivery log with root cause and corrective action
- Trigger route or process reviews for recurring delivery failures
- Report delivery performance trends and risks to Supply Chain leadership
6. Reverse logistics coordination
- Validate all returned inventory against return orders before warehouse handover
- Enforce strict control on undocumented returns with quarantine and escalation
- Ensure complete and accurate handover of returns to Inventory Controller
- Maintain traceability of all reverse logistics movements
7. Freight optimisation and cost control
- Track cost per delivery run and identify cost drivers across routes
- Flag inefficiencies including low utilisation, poor clustering, and excess 3PL usage
- Support route optimisation and cost reduction initiatives
- Monitor internal fleet metrics including fuel usage and operational anomalies
Requirements:
- Bachelor in Procurement and supply
- 1-2 years of experience
- Has experience in managing warehouses
- Ability to analyse route efficiency, utilisation, and cost-to-serve drivers
- Hands-on experience with GPS tracking and real-time fleet monitoring
- Strong understanding of last-mile logistics constraints in emerging markets
- Strong working knowledge of dispatch planning and route optimisation tools
- Proven ability to manage DIFOT performance in last-mile logistics operations
- Ability to manage high-pressure delivery environments with multiple variables
- High execution focus with proactive issue resolution and escalation discipline
