Role Summary:
We are seeking a polished, professional, and highly organized Receptionist to serve as the face of our company. This role is critical to creating a welcoming environment for clients, visitors, and employees. The ideal candidate will possess exceptional communication skills, the ability to multitask in a fast-paced environment, and a solution-oriented mindset.
Key Responsibilities:
Front Desk Management: Greet and welcome guests, clients, and vendors in a warm and professional manner. Manage the check-in and check-out process.
Switchboard Operations: Answer, screen, and route incoming phone calls using a multi-line system. Take accurate messages and relay them promptly.
Visitor Coordination: Issue visitor badges, maintain the visitor log, and notify internal staff of guest arrivals. Ensure compliance with security protocols.
Administrative Support: Perform clerical duties such as data entry, scanning, filing, and photocopying. Assist with the preparation of meeting rooms and materials.
Mail & Deliveries: Receive, sort, and distribute daily mail, packages, and courier deliveries. Coordinate outgoing shipments (FedEx/UPS/USPS).
Office Maintenance: Monitor the cleanliness and organization of the reception area, conference rooms, and common spaces. Coordinate with building management or cleaning staff for maintenance issues.
Scheduling: Assist with scheduling meetings, booking conference rooms, and managing the office calendar.
Inventory: Maintain inventory of office supplies, kitchen supplies, and marketing collateral; place orders as needed.
Qualifications:
Experience: 1–2 years of experience in a receptionist, administrative, or customer service role.
Education: High school diploma or equivalent required; Associate’s degree preferred.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Outlook, Excel) and familiarity with phone systems.
Soft Skills: Excellent verbal and written communication, strong interpersonal skills, and a professional presentation.
Attributes: Ability to remain calm under pressure, solve problems quickly, and prioritize tasks effectively.
