The Receptionist serves as the first point of contact for clients, visitors, and stakeholders, ensuring a professional and welcoming experience. The role is responsible for managing the front office, handling communications, coordinating appointments, and providing administrative support to facilitate the smooth operation of the firm's daily activities.
The successful candidate will demonstrate excellent customer service skills, professionalism, confidentiality, and the ability to multitask in a fast-paced legal and professional services environment.
Key Responsibilities
Front Office Management
- Welcome clients, visitors, and guests in a courteous and professional manner.
- Manage the reception area to ensure it remains clean, organized, and presentable.
- Direct visitors to the appropriate staff members or meeting rooms.
- Manage incoming and outgoing correspondence, including courier services.
Communication and Client Service
- Answer, screen, and direct incoming telephone calls professionally.
- Respond to general inquiries via phone, email, and other communication channels.
- Schedule appointments and coordinate meetings.
- Maintain accurate visitor and client records.
Administrative Support
- Provide administrative assistance to legal and administrative staff.
- Prepare, file, scan, photocopy, and organize documents.
- Assist in maintaining office filing systems, both physical and electronic.
- Monitor office supplies and coordinate replenishment when necessary.
- Support office events and meeting logistics.
Records and Confidentiality
- Handle sensitive information with the highest level of confidentiality.
- Maintain accurate records and office documentation.
- Ensure compliance with office policies and administrative procedures.
Qualifications and Experience
Essential
- Diploma or Bachelor's Degree in Business Administration, Office Management, Secretarial Studies, Public Relations, or a related field.
- Minimum of one (1) year of experience in a receptionist, front office, or administrative role.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
Desirable
