As part of its continued service excellence and operational support, NBC is seeking to recruit a qualified and professional candidate for the position of Receptionist at its Head Office.
The Receptionist will serve as the first point of contact for visitors, clients, staff, and stakeholders. The role is responsible for delivering professional front-office services, ensuring smooth reception operations, handling administrative tasks, and maintaining a welcoming and efficient business environment.
Duties and Responsibilities
Front Desk and Customer Service (30%)
- Greeting and welcoming visitors in a professional and friendly manner.
- Ensuring proper visitor management procedures are followed, including registration, issuing access badges, and notifying hosts.
- Maintaining a clean, organized, and professional reception area that reflects the organization’s brand standards.
- Managing incoming calls and inquiries and directing them to appropriate departments.
Administration and Office Support (20%)
- Receiving and registering supplier invoices and dispatching them to relevant business units for processing.
- Supporting document handling, correspondence management, and filing activities.
- Providing administrative support to various departments involving clients and visitors.
Customer Experience and Brand Representation (30%)
- Maintaining high standards of personal presentation and professional conduct.
- Acting as an ambassador of the bank’s values and corporate culture.
- Promoting a welcoming and respectful environment for clients, staff, and visitors.
Risk, Governance, and Control (20%)
- Managing first aid services at the reception area and ensuring the first aid kit is always maintained and ready for use.
- Providing basic first aid to injured visitors, clients, or employees at the reception area when required.
- Conducting regular checks of the reception area to identify potential hazards and report them promptly.
- Ensuring front office doors, back doors, and turnstile systems are functional and reporting any malfunctions immediately to the Security Manager.
- Coordinating with security personnel to address and resolve security-related issues at the reception area.
Qualification and Experience
Applicants must possess:
- A Bachelor’s Degree or Advanced Diploma in any discipline from a recognized institution.
- A minimum of two (2) years of experience in front office, customer service, or administrative support roles.
- Strong communication skills in both English and Swahili (written and spoken).
- Proficiency in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
- Strong customer service orientation and ability to manage multiple tasks under pressure.
