OFFICE MANAGEMENT OFFICER – 1 POSITION
Duties and Responsibilities
- Open and close the office on time;
- Receive and distribute documents, letters, and parcels within and outside the office;
- Ensure cleanliness of the office and surrounding environment;
- Receive visitors and direct them to the appropriate offices;
- Monitor the availability of office supplies and report requirements to the supervisor;
- Maintain office records;
- Type letters and various office documents;
- Maintain office filing systems;
- Assist in organizing meetings, seminars, and other Association activities;
- Coordinate appointments and schedules of leaders;
- In collaboration with the Planning Officer, assist in daily operational activities;
- Perform any other duties assigned by the Management.
Qualifications
- Holder of Form Four (O-Level) or Form Six (A-Level) education;
- Holder of a Diploma in Secretarial Studies from a Government-recognized institution;
- Must have passed Kiswahili or English shorthand at a speed of not less than 100 words per minute;
- Proficient in computer applications including Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Internet, and E-mail;
- Good communication skills and ability to maintain office records;
- Honest, disciplined, hardworking, and committed to duty;
- Physically fit and capable of performing office duties;
- Experience in office work or public institutions will be an added advantage.
GENERAL CONDITIONS FOR ALL APPLICANTS
- Must be a citizen of Tanzania;
- Attach an application letter written either by hand or typed;
- Attach a detailed Curriculum Vitae (CV) with reliable contact information, including details of two referees and their reachable telephone numbers;
- Attach copies of academic certificates, birth certificate, or National Identification Card;
- Academic certificates obtained outside Tanzania must be verified by the relevant Tanzanian authorities;
- The contract period is two (2) years;
- Applicants must be between 18 and 35 years of age;
- Duty station is Dodoma Region;
- All positions will operate under the supervision of the Secretary of the Association;
- Only shortlisted candidates will be invited for interviews.
