About the role
The Medical Supplies Officer is expected to be an enthusiastic, competent, and self-motivated professional with strong liaison and lobbying skills.
The primary objective of this role is to manage supply chains, secure key contracts, and build strong professional networks to consistently achieve and exceed departmental targets.
Duties and responsibilities
Customer care
- Deliver excellent customer service to clients and stakeholders.
- Resolve customer complaints within 24 hours.
- Escalate major issues to the Head of Department when necessary.
Procurement and liaison
- Network with key stakeholders to secure medical supply contracts.
- Build and maintain strong vendor relationships.
- Support procurement processes related to medical supplies, pharmaceuticals, and healthcare consumables.
Market research
- Analyze market trends and demands in the medical supplies sector.
- Identify top-tier medical brands to keep the product portfolio competitive.
- Provide insights that support product planning and departmental growth.
Tender management
- Oversee the full tendering process from strategic sourcing to delivery.
- Support client retention through proper tender follow-up and service delivery.
- Ensure tender processes are handled professionally and efficiently.
Business and NGO development
- Expand professional networks to secure NGO projects.
- Identify and pursue public initiatives and institutional contracts.
- Support business development efforts within the medical supplies department.
Regulatory compliance
- Manage product registrations with local authorities, including TMDA.
- Ensure all medical supplies and related products comply with legal and regulatory requirements.
- Maintain a strong focus on compliance throughout procurement, registration, and distribution processes.
Distribution and networking
- Coordinate medical supply deliveries across hospitals, private clinics, and home-based care networks.
- Build and maintain relationships with healthcare institutions and service providers.
- Support smooth distribution and timely delivery of medical supplies.
Reporting and records
- Maintain accurate records and departmental data.
- Submit comprehensive progress reports to the Head of Department.
- Ensure all records are properly updated and accessible when needed.
Ad-hoc tasks
- Perform additional duties as assigned by management.
- Support departmental activities aimed at growth, efficiency, and improved service delivery.
Education and qualifications
Applicants should have the following qualifications and skills:
- Proven hands-on experience handling medical supplies, pharmaceuticals, or healthcare consumables.
- Bachelor’s degree or diploma in Procurement, Supply Chain Management, Pharmacy, Biomedical Engineering, or a related field.
- Excellent communication, negotiation, and lobbying skills.
- Ability to work proactively in a fast-paced environment.
- Readiness to hit the ground running immediately.
- Strong organizational skills.
- Keen attention to regulatory compliance.
