Duties and responsibilities
A. Fundraising and resource mobilization responsibilities (75%)
- Lead and support Project Zawadi’s fundraising and resource mobilization strategy by identifying, cultivating, and securing funding opportunities from donors, foundations, corporations, individuals, and other partners.
- Develop and implement annual fundraising plans, targets, budgets, and action plans aligned with Project Zawadi’s strategic priorities and program needs.
- Conduct donor mapping, prospect research, and opportunity tracking to identify potential funding sources and strengthen the organization’s fundraising pipeline.
- Build and maintain strong relationships with existing and prospective donors through regular engagement, updates, meetings, presentations, and partnership development.
- Lead and support the development of high-quality concept notes, proposals, budgets, expressions of interest, and other fundraising documents that meet donor requirements and reflect Project Zawadi’s vision, mission, and impact.
- Review donor guidelines, contracts, and compliance requirements to ensure fundraising activities, agreements, and reporting processes meet donor expectations and organizational standards.
- Coordinate with program teams to collect, analyze, and document program data, outcomes, success stories, and evidence required for donor proposals, reporting, and fundraising materials.
- Monitor fundraising performance against agreed targets, maintain accurate fundraising records, and provide regular updates on funding progress, opportunities, challenges, and recommendations.
- Strengthen internal fundraising capacity by supporting staff training and systems development on donor engagement, proposal development, reporting standards, partnership management, and compliance requirements.
- Support contract management processes by ensuring donor agreements, reporting timelines, deliverables, and obligations are properly tracked and implemented.
- Develop and maintain strategic partnerships with government institutions, private sector actors, local organizations, and other stakeholders to expand sustainable funding opportunities.
- B. Communications and events planning responsibilities (25%)
- Develop and implement Project Zawadi’s communication plan to strengthen organizational visibility, donor engagement, and public awareness of the organization’s impact.
- Develop and manage communication materials, including donor updates, newsletters, social media content, website updates, success stories, program profiles, case studies, and visibility materials.
- Work closely with program teams to capture human-interest stories, photographs, impact evidence, and communication materials that demonstrate Project Zawadi’s contribution to education and community development.
- Support the planning, coordination, and successful execution of fundraising events and campaigns, including the November fundraising event in Arusha and the Chamriho 5K Run event in Bunda.
- Develop event fundraising strategies, coordinate sponsor engagement, manage event communication, and support post-event reporting and donor follow-up.
- Ensure consistent branding, messaging, and communication standards across Project Zawadi materials and platforms.
- Support donor visits, organizational presentations, partner meetings, and public engagement activities.
Key requirements and competencies
- Bachelor’s degree in Development Studies, International Development, Social Sciences, International Relations, Communications, Public Relations, Business Administration, Economics, Education, or a related field.
- A Master’s degree or professional qualification in Development Management, Fundraising, Strategic Management, Communications, or a related field is an added advantage.
- Minimum of 5–7 years of relevant professional experience, preferably within nonprofit organizations, international NGOs, development organizations, or similar contexts.
- Proven experience in fundraising, resource mobilization, grant proposal writing, donor relationship management, partnership development, and successful funding acquisition.
- Demonstrated experience developing successful proposals, concept notes, donor reports, and fundraising strategies.
- Strong understanding of donor requirements, compliance standards, contract management, and accountability practices within NGO settings.
- Strong communication, storytelling, digital communication, and content development skills.
- Experience planning and managing fundraising campaigns, donor events, stakeholder engagements, and visibility initiatives.
- Strong analytical, organizational, project management, leadership, and coordination skills.
- Ability to build relationships with diverse stakeholders, including donors, government authorities, private sector partners, communities, and organizational teams.
- Demonstrated leadership, innovation, transparency, accountability, and ethical conduct in fundraising, communication, partnership management, and donor engagement activities.
