Job Description

Role Summary:
As a Documentation Executive, you will support the accurate and timely processing of export documentation, including Bills of Lading, shipping instructions, invoices and manifests. You will work closely with customers, agents and internal teams to resolve queries and ensure smooth and efficient export operations.
Contract: Permanent
Location: Dar Es Salaam, Tanzania (On-Site)
Key Responsibilities:
- Manage vessel voyages, routes and customer setup in JBM.
- Prepare and process export Bills of Lading, invoices and freight tax reports.
- Coordinate Shipping Instructions (SI), amendments and documentation with shippers, agents and GCC.
- Manage OBL/SWB issuance, telex releases and switch BL requests, maintaining accurate issuance logs.
- Download and distribute cargo and freight manifests as required.
- Respond to customer queries relating to export documentation, invoices and EFD requirements.
- Prepare proforma invoices and vessel certificates when required.
- Support export file reconciliations and follow up on outstanding invoices after vessel sailing.
Candidate Requirements:
- Preferred experience in Shipping/freight forwarding.
- Right to work in Tanzania.
- Proficiency in MS Office applications (word, excel, outlook, power point, etc.)
- Excellent communication skills, both interpersonal and professional, in written and oral form.
- Should be self-motivated, very well organized with self-learning ability.
- Good written and spoken English.
