Description
1. Supervising the Inbound Team
As a Dept Collection Inbound Team Lead, you are responsible for managing and guiding the inbound operations team on a daily basis. This includes overseeing staff who handle receiving shipments, offloading goods, and checking inventory.
- Assign tasks and ensure all team members understand their roles
- Monitor productivity, attendance, and performance standards
- Provide coaching, training, and performance feedback
- Ensure adherence to safety procedures and company policies
- Resolve team issues and maintain a positive working environment
2. Handling Customer Enquiries
You act as a key point of contact for internal or external customer queries related to inbound operations.
- Respond to enquiries about deliveries, stock availability, or delays
- Coordinate with suppliers, transporters, or internal departments to provide accurate information
- Investigate and resolve complaints or discrepancies (e.g., missing or damaged goods)
- Ensure timely and professional communication to maintain high customer satisfaction
3. Collections Support
This responsibility involves supporting processes related to receiving and verifying incoming goods and ensuring proper documentation.
- Oversee receiving schedules and ensure goods are collected or received on time
- Verify delivery notes, invoices, and shipment documentation
- Ensure accurate recording of incoming inventory into systems
- Coordinate with procurement or suppliers to follow up on outstanding deliveries
- Assist with resolving discrepancies between ordered and received quantities
4. Performance Reporting
You are responsible for tracking, analyzing, and reporting inbound team performance.
- Monitor key performance indicators (KPIs) such as receiving time, accuracy, and productivity
- Prepare daily, weekly, or monthly reports for management
- Identify trends, inefficiencies, and areas for improvement
- Recommend process improvements to optimize workflow and reduce delays
- Use data to support decision-making and improve overall DC operations
5. Training and Development
As a Dept collection Inbound Team Lead, you play an important role in building the skills and capabilities of your team.
- Train team members on inbound processes, systems, and safety procedures
- Provide continuous on-the-job coaching to improve performance and efficiency
- Identify skill gaps within the team and organize refresher training sessions
- Ensure team members are up to date with standard operating procedures (SOPs)
- Mentor staff to support career growth and succession planning
- Encourage a culture of learning, accountability, and continuous improvement
Requirements
- Proficiency in Microsoft Excell and other Microsoft office programs.
- Concept of ERP knowledge
- Familiarity with call center systems (e.g., Webitel, CRM tools)
- Basic data analysis and reporting knowledge
- Strong leadership, communication, and problem-solving skills are highly preferred
- Experience in a call center or contact center environment
