Background

To provide comprehensive administrative and office management support to ensure the smooth and efficient operation of the Dar es Salaam office, including facilities, correspondence, supplies, and vendor coordination.

Key Responsibilities:

  • Manage office supplies, equipment, and inventory, ensuring timely procurement and maintenance.
  • Oversee front desk operations, handle incoming calls, mail, and welcome visitors.
  • Coordinate meetings, workshops, and events (logistics, venues, refreshments).
  • Maintain an efficient filing system (electronic and physical) for administrative documents.
  • Liaise with landlords, service providers, and vendors (cleaning, security, utilities).
  • Support travel arrangements and accommodation for staff and visitors.
  • Assist in basic HR administrative tasks (leave records, onboarding kits).
  • Ensure the office environment is clean, safe, and professionally maintained.

Qualifications & Experience:

  • Diploma or Bachelor’s degree in Business Administration, Secretarial Studies, or related field.
  • Minimum of 2-3 years of experience in an administrative or office management role.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).

Required Skills & Competencies:

  • Excellent organizational and multitasking skills.
  • Strong communication and customer service orientation.
  • Attention to detail and proactive approach.
  • Discretion and ability to handle confidential information.
  • Problem-solving and vendor management skills.
