Job Purpose:

The Administration & Logistics Officer is responsible for the efficient management of the project's administrative, procurement, and logistical operations. This role ensures that the project has the resources (assets, inventory, supplies) and logistical support required for timely field implementation.

Key Responsibilities:

Procurement: Manage the procurement of goods, works, and services in accordance with donor regulations and organizational policies. Ensure transparent vendor selection and bid analysis.

Asset Management: Maintain an up-to-date asset register, manage asset allocation, and conduct periodic physical inventory checks.

Fleet Management: Oversee the scheduling, fueling, and maintenance of project vehicles. Monitor vehicle logbooks and ensure compliance with safety standards.

Travel & Accommodation: Coordinate travel arrangements, accommodation, and hospitality for staff and visitors.

Administration: Manage office supplies, lease agreements, utilities, and office maintenance.

Warehousing: Oversee the receiving, storage, and distribution of project materials and supplies (e.g., food items, educational kits).

Documentation: Maintain organized filing systems for all logistical and administrative documents for audit readiness.

Qualifications & Experience:

Education: Bachelor’s degree in Business Administration, Logistics, Supply Chain Management, or related field.

Experience: Minimum of 3 years of experience in logistics and administration, preferably in an NGO/humanitarian setting.

Skills: Knowledge of procurement cycles, fleet management, and donor compliance (e.g., USAID, EU, UN). Proficiency in MS Office.

Competencies: Highly organized, ethical, ability to multitask, and strong negotiation skills.
