Job Summary:

The Tracking Officer is responsible for the real-time monitoring and management of the company’s vehicle fleet using GPS tracking software and telematics systems. This role ensures optimal route efficiency, driver safety, fuel conservation, and timely delivery of goods or services. The Tracking Officer acts as the central communication hub between drivers, dispatch, and management to proactively solve logistical problems.

Key Responsibilities:

Real-Time Monitoring:

  • Continuously monitor vehicle locations, speeds, idling times, and route adherence via GPS tracking platforms.
  • Track mileage, fuel consumption, and engine diagnostics to identify mechanical issues or inefficiencies.

Route Optimization:

  • Assist in planning and dispatching the most efficient routes to avoid traffic, road closures, and delays.
  • Provide turn-by-turn navigation support to drivers when necessary.

Driver Communication & Safety:

  • Act as the primary point of contact for drivers regarding traffic updates, weather conditions, and delivery schedule changes.
  • Enforce safe driving practices by monitoring speeding, harsh braking, and rapid acceleration; issue warnings or reports for violations.

Incident Management:

  • Immediately escalate emergency situations (accidents, breakdowns, theft) to the appropriate management and emergency services.
  • Coordinate recovery and support services for stranded vehicles.

Data Reporting & Analysis:

  • Generate daily, weekly, and monthly reports on fleet performance (e.g., On-Time Delivery rates, fuel usage, idle time).
  • Analyze tracking data to identify trends and make recommendations for cost reduction and efficiency improvements.

System Maintenance:

  • Ensure all tracking devices are functioning correctly; coordinate with IT or third-party vendors for repairs or upgrades.

Key Performance Indicators (KPIs):

  • Fuel efficiency (km/liter) vs. budget.
  • On-time delivery performance (%).
  • Reduction in unauthorized stops/detours.
  • Idle time reduction (%).

Qualifications & Requirements:

Education:

Bachelor’s degree in Logistics, Transportation, Business Administration, or a related field. Diploma with extensive experience may be considered.

Experience:

1–3 years of experience in fleet tracking, dispatching, or logistics coordination.

Technical Skills:

Proficiency in GPS tracking software (e.g., Wialon, Teletrac, Trimble) and MS Office Suite (especially Excel for reporting).

Soft Skills:

Strong analytical and problem-solving skills; excellent communication abilities; ability to work under pressure and handle emergencies; high attention to detail.

Other:

Willingness to work in shifts (including nights and weekends if required).
