United Nations Development Programme (UNDP Tanzania) is recruiting an SGP Programme Assistant based in Dar es Salaam to support implementation of the Global Environment Facility (GEF) Small Grants Programme (SGP). The role supports programme coordination, grants management, financial administration, stakeholder engagement, monitoring and evaluation, and operational support to ensure successful delivery of programme objectives.
The successful candidate will work closely with the National Coordinator (NC), National Steering Committee (NSC), grantees, and stakeholders to support project implementation, reporting, compliance, knowledge management, and administrative operations. The position combines programme support responsibilities with finance, logistics, documentation, and office coordination duties within a development and environmental management context.
Responsibilities or duties
- Supporting day-to-day programme and project implementation to ensure alignment with approved objectives, outputs, and work plans.
- Assisting in pre-screening project concepts and proposals, including evaluation of financial components.
- Supporting development and revision of grant application forms, programme management tools, and operational documents.
- Advising potential grantees on project preparation guidelines and application processes.
- Providing technical and operational support to ongoing projects and grantee organizations.
- Supporting project monitoring, evaluation, grievance redress mechanisms, and participation in field visits.
- Organizing meetings, preparing minutes, and coordinating SGP events and stakeholder activities.
- Maintaining professional relationships with NGOs, government institutions, donors, and programme stakeholders.
- Assisting preparation of programme reports, monitoring surveys, and submissions to UNDP and the Central Programme Management Team.
- Supporting compliance with monitoring and evaluation requirements including PIR, MTR, and Terminal Evaluation processes.
- Drafting memos, operational documents, and programme correspondence.
- Updating and maintaining project databases and stakeholder records.
- Reviewing supporting documentation for interim and final financial reports from grantees.
- Processing payment requests and ensuring compliance with SGP operational procedures.
- Supporting financial management activities including budget monitoring, grant disbursement tracking, petty cash management, and financial reporting.
- Maintaining accounting systems, administrative records, and filing systems.
- Supporting procurement of office supplies, equipment, and services in accordance with organizational procedures.
- Coordinating logistics for travel, meetings, workshops, and programme events.
- Supporting knowledge management, communication, advocacy, and visibility initiatives for the SGP programme.
- Assisting in development of articles, publications, and dissemination materials.
- Supporting website and database updates with relevant programme information.
- Assisting project audits and implementation of audit recommendations.
- Supporting monitoring, evaluation, and reporting systems for programme implementation.
Qualifications or requirements (e.g., education, skills)
Education
- Secondary education or Bachelor’s degree in Business Administration, Public Administration, Environmental Science, Social Science, or related field.
- Certification in Business Administration, Accounting, or Finance is an added advantage.
Experience needed
- Minimum of five years relevant experience for candidates with secondary education or two years for candidates with a Bachelor’s degree.
- Experience in programme support, administration, or project management.
- Experience working with rural or community-level development initiatives is an added advantage.
- Knowledge of monitoring and evaluation and results-based management tools is desirable.
- Proficiency in Microsoft Office applications including Word and Excel.
- Advanced knowledge of spreadsheets and database management.
- Experience with web-based management systems is an added advantage.
- Experience supporting programme financial management and operational logistics is desirable.
- Fluency in English and Kiswahili.
- Strong communication, organizational, analytical, and stakeholder engagement skills.
- Ability to work effectively in multicultural and collaborative environments.
