Job Summary:
The Fleet Supervisor is responsible for the overall operational management and maintenance of the company’s vehicle fleet. This role oversees mechanics, drivers, and support staff to ensure all vehicles are roadworthy, compliant with legal standards, and cost-effective. The Supervisor balances the need for vehicle availability against maintenance schedules and repair budgets.
Key Responsibilities:
Fleet Maintenance & Repairs:
- Schedule and oversee routine preventive maintenance (oil changes, tire rotations, inspections) for all vehicles to minimize downtime.
- Manage the repair workflow; diagnose mechanical issues and authorize external or internal workshop repairs.
- Maintain a comprehensive database of vehicle service histories and warranties.
Budget Management:
- Monitor and control fleet-related expenses (fuel, maintenance, spare parts, insurance).
- Prepare and manage the fleet operational budget; identify cost-saving opportunities without compromising safety.
Compliance & Safety:
- Ensure all vehicles comply with government regulations (roadworthiness tests, emissions standards, permits).
- Enforce safety protocols and conduct regular safety audits on vehicles (brake checks, lighting, tire condition).
- Manage vehicle accident reporting and insurance claims processes.
Staff Supervision:
- Supervise, train, and evaluate drivers and mechanics.
- Conduct regular safety briefings and defensive driving courses for the driver team.
- Address performance issues and implement disciplinary actions when necessary.
Vendor Management:
- Negotiate contracts and manage relationships with external vendors (garages, spare parts suppliers, tire suppliers).
- Evaluate vendor performance regarding quality, cost, and turnaround time.
Vehicle Acquisition/Disposal:
- Participate in the selection and purchase of new vehicles based on operational needs.
- Recommend the disposal of aging or high-maintenance vehicles and manage the decommissioning process.
Key Performance Indicators (KPIs):
- Fleet availability rate (% of vehicles operational).
- Maintenance cost per vehicle per month.
- Adherence to scheduled maintenance schedules (%).
- Downtime reduction (average hours lost to repairs).
- Cost savings achieved through vendor negotiations/efficiencies.
Qualifications & Requirements:
Education:
Bachelor’s degree in Mechanical Engineering, Logistics, Business Management, or related field. Trade certifications in automotive mechanics are a plus.
Experience:
5+ years of experience in fleet management, vehicle maintenance, or logistics supervision. Proven leadership experience is essential.
Technical Skills:
In-depth knowledge of vehicle mechanics (engines, transmissions, electrical systems); proficiency in fleet management software (CMMS) and MS Office.
Soft Skills:
Strong leadership and team management abilities; strategic thinking; excellent negotiation and communication skills; problem-solving aptitude.
Other:
Valid driver’s license; ability to work in a fast-paced, often outdoor environment.
