Job Title: Finance and Administration Officer 

Job Purpose 

The Finance and Administration Officer is responsible for supporting the organization’s financial  management, administrative operations, and compliance requirements. The role ensures accurate  financial records, efficient office administration, and adherence to internal controls, policies, and  statutory obligations. 

Key Responsibilities 

Finance Responsibilities 

  • Prepare and process accounting entries, including payments, receipts, journals, and bank  reconciliations. 
  • Maintain accurate and up-to-date financial records in accordance with approved  accounting standards and internal policies. 
  • Support preparation of monthly, quarterly, and annual financial reports.
  • Assist with budgeting, forecasting, and expenditure monitoring. 
  • Ensure timely processing of invoices, staff claims, and statutory payments (taxes, social  security, etc.). 
  • Support internal and external audits by preparing schedules and responding to audit  queries.
  • Monitor cash flow and maintain proper custody of cash and bank instruments.

Administration Responsibilities 

  • Oversee day-to-day office administration to ensure smooth operations.
  • Manage procurement processes, including requisitions, supplier coordination, and record  keeping. 
  • Maintain administrative records, contracts, and asset registers. 
  • Coordinate logistics, travel arrangements, and office supplies. 
  • Support human resource administration, including staff records, onboarding  documentation, and leave tracking. 
  • Ensure compliance with organizational policies and procedures. 

Compliance and Controls 

  • Ensure adherence to financial policies, procedures, and internal control systems.
  •  Support compliance with relevant laws, regulations, and statutory requirements.
  •  Identify risks and recommend improvements to financial and administrative processes. 

Coordination and Reporting 

  • Liaise with internal departments, vendors, banks, and service providers.
  • Provide timely and accurate financial and administrative information to management.
  • Perform any other duties as may be assigned by the supervisor from time to time. 

Qualifications and Experience 

  • Diploma in Finance, Accounting, Business Administration, or a related field.
  •  Minimum of 1–3 years’ relevant experience in finance and administration roles.
  •  Experience working with accounting software and Microsoft Office applications. 

Skills and Competencies 

  • Strong accounting and financial reporting skills. 
  • Good understanding of administrative and procurement processes. 
  • High level of accuracy, integrity, and attention to detail. 
  • Strong organizational and time management skills. 
  • Ability to work independently and meet deadlines. 
  • Good communication and interpersonal skills. 
  • Ability to handle confidential information with discretion. 

Work Environment 

  • Office and online based role with occasional interaction with external stakeholders.
  •  May require working under tight deadlines, especially during reporting periods.
