Background
United Nations Development Programme (UNDP Tanzania) is offering an Executive Intern opportunity based in Dar es Salaam. The internship is designed to provide practical exposure to executive coordination, office administration, records management, and protocol support within the Office of the Resident Representative and Deputy Resident Representatives.
The intern will work closely with the Executive Associate and support daily executive office operations, including meeting coordination, portfolio tracking, correspondence management, travel administration, and logistical support. The role provides valuable experience within an international development environment and is suitable for candidates interested in public administration, international relations, development cooperation, and organizational management.
Responsibilities
- Tracking and monitoring action points arising from meetings involving the Resident Representative (RR) and Deputy Resident Representatives (DRRs).
- Maintaining updated action-tracking matrices and following up with responsible offices to ensure implementation of agreed actions.
- Maintaining portfolio snapshots, including project activities, budgets, and workplan implementation status.
- Providing timely portfolio updates to support executive decision-making.
- Tracking incoming and outgoing correspondence, including pending responses and required follow-up actions.
- Ensuring compliance with UNDP filing and records management standards.
- Maintaining organized electronic and physical filing systems.
- Supporting scheduling and coordination of monthly Town Hall meetings.
- Assisting in preparation of draft documents, reports, and internal working materials.
- Ensuring all documents are reviewed by the Executive Associate before circulation.
- Handling sensitive information with confidentiality and professionalism.
- Supporting official travel arrangements, bookings, and related documentation.
- Monitoring approved travel schedules and coordinating administrative follow-up.
- Supporting situational awareness by monitoring national and international developments relevant to the office.
- Coordinating booking and scheduling of the 8th Floor Conference Room.
- Assisting with meeting logistics and office coordination activities.
Qualifications Required
- Currently enrolled in a postgraduate degree programme such as a Master’s degree or higher.
- Final-year undergraduate students may also apply.
- Recent graduates are eligible provided the internship starts within one year of graduation.
- Candidates enrolled in postgraduate professional traineeship programmes are also eligible.
- Academic background in Development Studies, International Relations, Public Administration, Business Administration, Political Science, Social Sciences, or related fields.
- Strong organizational and communication skills.
- Ability to work effectively in multicultural and diverse environments.
- Interest in international development and alignment with UNDP values and mission.
- Strong attention to detail and ability to work in fast-paced settings.
- Ability to work independently and collaboratively within teams.
- Proficiency in English is required.
- Knowledge of additional UN languages is considered an advantage.
