The High Commission of the Republic of Kenya in the United Republic of Tanzania is seeking to employ a qualified person for the position of Consular Assistant. The position is for a duration of one (1) year, renewable based on performance.
Candidate Requirements
The ideal candidate should possess the following qualifications and skills:
- A Bachelor’s degree in business or public administration, social sciences, or a relevant field.
- Two (2) years of experience in a busy organization in the public or private sector; candidates with previous relevant experience in a consular role will have an added advantage.
- Valid Tanzanian residence or work permit.
- Valid Certificate of Good Conduct.
- Proficiency in English/Kiswahili and a good working command.
- Excellent administrative and organizational skills.
- Excellent interpersonal skills and the ability to work well in a team.
- Professional competence in work performance and results.
- Ability to work well under pressure, multitask, and be flexible.
- Positive attitude and strong work ethics.
- Possess diplomatic and etiquette skills.
- Ability to interact with people of different cultures and personalities.
- Proficient in information and communications technology (ICT) and experienced at using computer programs.
Roles and Responsibilities
The Consular Assistant will be responsible for the following duties:
- Receiving all applications submitted at the High Commission (Passport, Citizenship, Marriage Certificate, No Impediment Certificate, Good Conduct Certificate, Birth Certificate applications, etc.) for forwarding to the relevant authorities for processing.
- Checking completeness of applications and advising applicants on requirements and procedures.
- Preparing emergency travel documents.
- Advising customers on payments and receipting all payments for chargeable applications.
- Responding to inquiries from applicants at the counter and on phone.
- Preparing daily reports of all applications received, receipts issued, and total revenue collected.
- Releasing processed documents to applicants.
- Submitting daily revenue collection returns to the Financial Attaché.
- Maintaining and updating the register of the Kenyan Diaspora.
- Assisting in the preparation of consular returns and reports (i.e., monthly, quarterly, and annually).
- Attending to phone calls and advising applicants on consular services.
- Performing any other duties as directed by the Head of Mission or the responsible officer.
