Smiles Dental Clinic is seeking a proactive and detail-oriented A clinical Manager who will be responsible for overseeing the daily operations of a healthy care facility, ensuring both efficient service delivery and administrative functions. Key Responsibilities

Clinical Operations Oversight  

  • Ensure the daily operational efficiency of the clinic, including patient flow, scheduling, referrals, and utilities.
  • Conduct regular clinical rounds and enforce operational protocols.
  • Maintain complete and accurate clinical records and documentation.

Human Resources Leadership

  • Lead the Human Resources Department, ensuring effective recruitment, onboarding, performance management, and employee relations.
  • Ensure compliance with labor laws and internal HR policies.
  • Monitor staff attendance, duty rosters, and leave records.

CPD Training Centre Management

  • Plan and coordinate CPD (Continuing Professional Development) training programs for clinical and non-clinical staff.
  • Organize internal workshops, seminars, and certifications aligned with regulatory requirements.
  • Monitor training outcomes and maintain up-to-date training records.

Procurement & Inventory Control

  • Supervise the Procurement Department, ensuring timely and cost-effective procurement of medical supplies and equipment.
  • Maintain updated inventory records of clinic assets, consumables, and Dental tools.
  • Evaluate suppliers and enforce procurement compliance policies.

Financial Coordination

  • Collaborate closely with the Finance Department on budget development, monitoring, and resource allocation.
  • Track and manage clinic expenditures and revenue generation.
  • Oversee financial activities related to the Dental Shop and X-Ray Unit (CBCT, OPG, Lateral Cephalometric X-rays).

Compliance, Licensing & Quality Assurance

  • Ensure full compliance with healthcare standards, legal frameworks, and internal policies.
  • Oversee MTUHA data collection, reporting, and timely submission to relevant health authorities.
  • Manage and coordinate the renewal of clinic licenses, permits, and regulatory documents before expiration.
  • Lead internal audits, quality checks, and risk mitigation initiatives.

Patient Experience & Service Delivery

  • Ensure patient care delivery is aligned with best practices and patient-centered approaches.
  • Handle patient feedback and complaints professionally and implement service improvements.
  • Coordinate with dentists and Assistants to optimize care standards.

Marketing, Outreach & Communications

  • Lead marketing strategies including digital presence, website updates, and social media engagement.
  • Represent the clinic at community outreach programs, exhibitions, and stakeholder events.
  • Manage internal and external communications, including legal and regulatory correspondence.

Strategic Planning & Reporting

  • Assist in the formulation and execution of clinic strategic plans.
  • Provide data-driven recommendations to improve efficiency and growth.
  • Prepare and submit periodic performance and operational reports (daily, weekly, monthly, quarterly, annually).
  • Maintain minutes for key management meetings and keep operational records organized.

Additional Duties

  • Carry out any other responsibilities as assigned by management to support the clinic’s mission and growth.

Required Qualifications & Experience

  • Bachelor’s degree in Healthcare Administration, Public Health, Business Administration, or a related field (Master’s degree preferred).
  • Minimum of 3-5 years in clinical or healthcare operations management.
  • In-depth knowledge of healthcare compliance/Dental.
  • Strong leadership and team development capabilities.
  • Financial literacy with experience in budgeting and expense control.
  • Proficiency in Microsoft Office Suite and healthcare systems.
