About the Role:
StreamHistory Documentaries
The primary role of the Administrator is to coordinate the preparation, verification, and follow-up of export documentation required for clearance and shipments, support routine finance reconciliation, and provide general administrative support.
Key Responsibilities:
- Provide cross-functional administrative support
- Perform export documentation and shipment coordination; compile, check and circulate required documents, including commercial or proforma invoices, packing lists, airway bill instructions/drafts, veterinary or health certificates, export permits, certificates of origin, customs documents and customer import permits, as applicable.
- Assist with preparation of customer invoices and supporting documentation for export and local sales transactions.
- Support preparation and tracking of purchase orders, supplier follow-up and maintenance of purchasing records when required.
- Update shipment and export trackers and provide timely status reports to internal stakeholders.
- Maintain an organised register of permits, certificates, shipment costs and clearing-agent documents.
- Provide general administrative support to the Finance, Administration and Supply Chain teams, including correspondence, filing, data entry, diary/scheduling support and record maintenance.
Qualifications & Experience Required:
- Diploma or bachelor’s degree in Business Administration, Accounting, Finance, Procurement and Supply Chain Management or related field.
- At least 2 years of relevant experience in administration, finance support, logistics, exports, freight forwarding, clearing or supply-chain support.
- Direct exposure to export documentation, freight forwarding or perishable/live-animal cargo is an advantage but not a requirement.
- Working knowledge of basic accounting documents, invoicing, reconciliations and document filing.
- Demonstrated ability, or clear potential, to learn new administrative systems, processes and terminology quickly across different functional areas.
- Good Microsoft Excel, Word and email skills; experience with Acumatica or another ERP is an advantage.
- Excellent communication in both English and Kiswahili.
