Background

The Tanzania Sunflower Processors Association (TASUPA) is a national-level membership organization committed to promoting and protecting the interests of sunflower oil processors across Tanzania. TASUPA plays a vital role in coordinating the sector, advocating for policies and regulations that support industry growth, facilitating value chain development, and contributing to the production of a competitive, high-quality, and sustainable edible oil industry.

To strengthen its operational efficiency and ensure sound financial management, TASUPA is seeking a qualified Admin and Finance Officer to provide administrative and financial support. This role is critical in maintaining compliance, managing resources effectively, and supporting the association’s day-to-day operations.

Position Overview

The Admin and Finance Officer will be responsible for managing TASUPA’s financial systems, ensuring accurate accounting and reporting, and supporting administrative functions. The officer will oversee budgeting, procurement, payroll, and compliance with statutory requirements. Additionally, the role involves maintaining proper documentation, supporting governance processes, and ensuring smooth office operations. The Admin and Finance Officer will work closely with the General Manager and other team members to ensure efficient resource utilization and organizational accountability.

Key Responsibilities

3.1 Financial Management

  • Maintain accurate financial records and ensure timely preparation of financial reports.
  • Manage budgeting processes and monitor expenditure against approved budgets.
  • Oversee accounts payable and receivable, bank reconciliations, and cash flow management.
  • Ensure compliance with financial policies, donor requirements, and statutory obligations (taxes, social security, etc.).
  • Prepare monthly, quarterly, and annual financial statements for review by management and the Board.

3.2 Administrative Support

  • Manage office operations, including procurement, inventory, and asset management.
  • Maintain proper filing systems for financial and administrative documents.
  • Support HR functions such as payroll processing, staff records, and leave management.
  • Coordinate logistics for meetings, workshops, and member events.

3.3 Compliance and Governance

  • Ensure adherence to organizational policies and procedures.
  • Support audit processes and implement recommendations for improved financial controls.
  • Maintain confidentiality and integrity in handling organizational information.

Core Competencies Required

  • Strong knowledge of financial management and accounting principles.
  • Proficiency in accounting software and MS Office applications.
  • Excellent organizational and administrative skills.
  • Attention to detail and ability to meet deadlines.
  • Strong communication and interpersonal skills.

Qualifications and Experience

  • Bachelor’s degree in accounting, Finance, Business Administration, or related field.
  • Professional certification (CPA, ACCA) is an added advantage.
  • Minimum of two to three years of experience in financial and administrative roles, preferably in NGOs, associations, or agribusiness organizations.
  • Knowledge of Tanzanian tax laws, labor regulations, and compliance requirements.
  • Experience in donor-funded projects and financial reporting is desirable.
