We are seeking a dedicated, organized and proactive Visitor & Donor Engagement Administrator to join our team. This role serves as a key link in coordinating visitor experiences, facilitating donor engagement, and contributing to strong communication efforts across the organisation. The Administrator will ensure visitors have a positive and well-structured experience, support the CEO with donor relations tasks, and contribute to storytelling and communications by gathering content from daily activities. This is a unique role for someone who is highly organised, confident engaging with diverse stakeholders, and passionate about the mission of improving the lives of children with surgically treatable disabilities.
Key Responsibilities
- Coordinate and schedule all planned visits to Kafika House in line with Visitor SOPs.
- Welcome visitors and conduct engaging tours (or assign a team member), providing accurate information about Kafika House's work and impact.
- Build connections between visitors and the fundraising team to nurture long-term relationships.
- Assist the CEO in tracking donor and potential donor interactions, including contact history, shared materials, and follow-up schedules.
- Prepare summaries, background notes, and draft materials to support the CEO in donor engagement activities.
- Support the Director of Philanthropy (Friends of Kafika House) by providing data and programme inputs for global grant applications.
- Contribute to fundraising initiatives by assisting with events, campaigns, and other ad hoc tasks.
- Collect stories, photos, and updates from staff, visitors, and programme activities for use in external communications.
- Draft short captions, quotes, or simple text to accompany communications content.
- Share collected content with the communications consultant for use across social media, newsletters, and other channels.
- Maintain a well-organised library of photos, stories, and other content for ongoing communications.
- Maintain accurate visitor and donor records in the Stakeholder Manager system.
- Support internal coordination between the CEO, fundraising team, and communications consultant.
- Assist with additional administrative tasks as required.
Qualifications & Skills
- Diploma or Bachelor's degree in Communications, Public Relations, Administration, Marketing, or a related field.
- Strong organisational and coordination skills, with excellent attention to detail.
- Confidence in engaging warmly and professionally with visitors, donors, and partners.
- Strong writing skills and the ability to draft simple communication content.
- Experience in customer service, administration, communications, or donor relations is an added advantage.
- Ability to manage multiple tasks, work independently, and maintain confidentiality.
- Passion for social impact and alignment with Kafika House's mission.
