Tabono on behalf of our esteemed client is seeking a highly organized, personable, and proactive Receptionist to be the welcoming face and first point of contact for our company. The ideal candidate will possess exceptional communication skills, a professional demeanor, and a keen eye for detail. This role is crucial in creating a positive first impression and ensuring the smooth operation of our front office.
Key Responsibilities:
- Warmly greet and welcome visitors, clients, and employees, ensuring a professional and friendly atmosphere.
- Manage a multi-line phone system, directing calls efficiently and taking accurate messages.
- Maintain a tidy and presentable reception area, ensuring it always reflects our company’s high standards.
- Schedule and coordinate meetings, appointments, and conference room bookings.
- Handle incoming and outgoing mail, packages, and deliveries.
- Provide administrative support to various departments, including data entry, filing, and preparing documents.
- Assist with office supply inventory and ordering.
- Maintain security by following procedures, monitoring the logbook, and issuing visitor badges.
- Address inquiries from clients and the public in a polite and informative manner.
Qualifications:
- Diploma/Degree in Administration, Office management or any related/similar degree Proven experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities with a commitment to accuracy.
- A professional and polished appearance with a friendly and approachable personality.
- Ability to be resourceful and proactive when issues arise & exceptional customer service orientation.
