Job Overview
The Human Resource and Legal Assistant will support both the Human Resources and Legal departments by ensuring HR policies comply with legal standards, maintaining employee records, assisting with employee relations, and providing legal administrative support.
Key Responsibilities
1. Human Resources Support (Primary Focus)
- Assist the HR department in maintaining employee records and ensuring compliance with legal standards.
- Help ensure compliance with labor laws by working closely with the HR team to update policies and practices.
- Support the preparation of HR-related legal documentation, including employee agreements, contracts of employment, disciplinary actions, and legal notices.
- Assist with basic HR tasks such as the employee onboarding process and documentation.
- Support audits of HR processes and records to ensure legal compliance.
- Collect payroll input for each respective month.
2. Legal Support (Secondary Focus)
- Provide comprehensive administrative support to the Legal Counsel, including drafting legal correspondence, contracts, and agreements.
- Assist in the review and preparation of employment contracts, ensuring compliance with the Employment and Labour Relations Act and other applicable HR legal frameworks in Tanzania.
- Conduct legal research on labor laws, compliance regulations, and workplace legal standards, providing updates to the department as necessary.
- Maintain and organize legal documents, including employee agreements, contracts, non-disclosure agreements, disciplinary documents, and other legal files.
- Assist in dispute resolution processes, including handling grievances, employee complaints, and liaising with external legal counsel as needed.
- Monitor changes in employment and labor laws to ensure the company remains updated and compliant with all relevant regulations.
- Manage confidential legal documentation, ensuring proper filing and archiving.
- Support the Legal Counsel in matters related to corporate governance, risk management, and contract compliance. Job type Full-time Job
3. Reporting
- Assist with preparing and sharing HR reports, including contract tracker reports two months before contract expiration, to the HR & Administrative Manager.
- Support the preparation of reports for legal proceedings, internal investigations, and audits, sharing them every week-end on Friday.
4. Additional Duties
- Perform any other duties assigned by the line manager or Directors.
Skills and Qualifications
- Education: Bachelor’s degree in Legal Studies, Human Resources, or a related field (legal education preferred).
- Experience: 2–3 years of experience in a legal assistant role, preferably with exposure to HR legal matters.
- Strong knowledge of employment law, labor laws, and corporate compliance regulations.
- Experience with contract drafting and review.
- Proficiency in legal research tools and software.
- Familiarity with HR compliance processes and records management.
- Strong organizational skills, with the ability to manage multiple legal files and tasks concurrently.
- Excellent written and verbal communication skills, especially for preparing legal documents.
