Background
Toto Kids Clothing Company is a children's clothing brand in Tanzania. Toto Kids seeks to recruit a Finance and Administration Officer for its shops located in Dar es Salaam.
The Finance & Administration Officer is responsible for managing the company’s financial records, ensuring tax compliance, overseeing administrative functions, supporting payroll administration, and providing accurate financial information to management. The role plays a critical part in maintaining strong internal controls, regulatory compliance, and efficient day-to-day business operations.
Key Responsibilities
Finance & Accounting
- Maintain accurate and up-to-date accounting records.
- Record daily sales, purchases, expenses, and bank transactions.
- Prepare monthly, quarterly, and annual financial reports.
- Perform bank reconciliations and cash flow monitoring.
- Manage accounts payable and accounts receivable.
- Monitor company budgets and expenses.
- Support inventory accounting and stock reconciliation.
- Ensure proper filing and safekeeping of financial documents.
Tax Compliance
- Prepare and submit VAT, PAYE, withholding tax, and other statutory returns.
- Ensure compliance with Tanzania Revenue Authority (TRA) requirements.
- Maintain accurate tax records and supporting documentation.
- Coordinate with external auditors and tax consultants during audits and reviews.
- Monitor tax deadlines and ensure timely payments and filings.
Payroll & Human Resources Administration
- Prepare monthly payroll and employee payment schedules.
- Maintain employee records and personnel files.
- Administer statutory deductions and employee benefits.
- Support recruitment, onboarding, and staff administration processes.
- Monitor staff attendance and leave records.
Administrative Duties
- Manage office administration and procurement activities.
- Coordinate utility payments, licenses, permits, and insurance renewals.
- Maintain company assets and administrative records.
- Support management with operational reporting and documentation.
- Ensure compliance with company policies and procedures.
Internal Controls & Compliance
- Implement and maintain financial controls to safeguard company assets.
- Verify accuracy of transactions and supporting documents.
- Assist in developing and improving financial and administrative procedures.
- Ensure compliance with applicable laws, regulations, and company policies.
Qualifications
Education
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
Professional Qualifications
Preferred:
- CPA (Tanzania) - Completed or Part Qualified.
- ACCA - Completed or Part Qualified.
Experience
- Minimum 3 years of experience in accounting, finance, or administration.
- Experience in retail, trading, distribution, or FMCG businesses is preferred.
- Demonstrated experience in tax compliance and statutory reporting.
- Experience using accounting software such as QuickBooks, Sage, Zoho Books, or similar systems.
Required Skills
- Strong knowledge of accounting principles and financial reporting.
- Good understanding of Tanzania tax laws and TRA compliance requirements.
- Advanced Microsoft Excel skills.
- Strong analytical and problem-solving abilities.
- Excellent organizational and record-keeping skills.
- High level of integrity, confidentiality, and professionalism.
- Ability to meet deadlines and work independently.
- Strong communication and interpersonal skills.
