Job Summary
The Executive Assistant (EA) will provide high-level administrative, personal, and strategic support to the CEO. This role combines traditional executive assistance—calendar management, communication handling, office coordination—with modern responsibilities such as managing the CEO’s social media presence, creating professional content, and supporting personal branding initiatives.
The ideal candidate is organized, proactive, digitally savvy, discreet, and able to work in a fast-paced environment while maintaining the highest level of professionalism.
Responsibilities
1. Executive & Personal Assistance
- Manage the CEO’s calendar, appointments, meetings, travel plans, and daily agenda.
- Serve as the primary point of contact for internal and external communications on behalf of the CEO.
- Prepare briefs, minutes, presentations, and reports as required.
- Handle confidential information with integrity and discretion.
- Assist with personal tasks, errands, and coordination as assigned by the CEO.
2. Office Administration
- Support the smooth running of the office and ensure efficient workflow.
- Maintain filing systems, office records, documents, and correspondence.
- Coordinate logistics for meetings, events, and internal activities.
- Liaise with departments, partners, and stakeholders to ensure timely follow-ups and task completion.
3. Social Media Management & Personal Branding
- Manage and update the CEO’s social media accounts (LinkedIn, Instagram, X/Twitter, etc.).
- Create, edit, and publish engaging professional content aligned with the CEO’s brand and organizational goals.
- Monitor online engagement, respond to messages/comments where appropriate, and track performance insights.
- Develop a content calendar for the CEO and recommend strategies to grow their online influence.
- Coordinate professional appearances when needed.
4. Strategic Support & Coordination
- Assist with project tracking, research, and compiling briefing documents.
- Follow up on action items discussed in meetings and ensure timely execution.
- Provide insights and recommendations on digital trends, branding, and communication opportunities.
Knowledge and Experience
- Bachelor’s degree in Business Administration, Communications, Marketing, Public Relations, or related field.
- Minimum 1–2 years of experience as an Executive Assistant, Personal Assistant, Office Administrator, or similar role.
- Proven experience managing social media platforms and creating professional content.
- Exceptional written and verbal communication skills.
- Strong organizational and time-management abilities.
- Digital marketing and content creation skills (captions, basic video editing).
- High level of confidentiality, reliability, and emotional intelligence.
- Ability to multitask and work under pressure.
- Proficiency in MS Office Suite, Google Workspace, and social media tools.
- Professional presence and ability to represent the CEO appropriately.
