Job Summary:
We are seeking a highly organized and detail-oriented Contracts and Tender Officer to oversee the preparation, review, and administration of contracts and tender submissions. This role requires a strong understanding of procurement and legal compliance, attention to detail, and excellent coordination skills. The successful candidate will play a key role in managing bidding processes, drafting contracts, and ensuring the company’s compliance with regulatory and contractual obligations.
Key Responsibilities:
- Identify and analyze relevant tender opportunities from government, commercial, and private sector clients.
- Coordinate the end-to-end tender process including RFI, RFP, RFQ, and ITT submissions.
- Review tender documents, terms, and conditions to assess compliance and commercial risk.
- Prepare and compile high-quality tender responses and proposals, including technical, financial, and administrative documentation.
- Draft, review, and negotiate contracts and service agreements in collaboration with legal and operational teams.
- Ensure all contracts and tender documents are accurate, legally compliant, and in line with organizational policies.
- Maintain a contracts and tenders database, tracking all key dates, obligations, and deliverables.
- Liaise with internal stakeholders (legal, finance, sales, technical teams) to ensure timely information flow.
- Monitor changes in tender and contract regulations and update relevant teams accordingly.
- Assist in the development of standard contract templates and process improvements.
Requirements:
- Diploma in Law, Sales, Marketing, Business Administration, Procurement, or related field.
- 2–5 years of experience in tender preparation & submission
- Familiarity with procurement regulations and tendering procedures.
- Strong written and verbal communication skills.
- High proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Excellent organizational and time management abilities.
- Ability to work under pressure and meet tight deadlines.
- Strong negotiation and analytical skills.
Preferred Qualifications:
- Experience in industries such as Furniture, Hardware, Stationery, General Supply, or ICT is preferred.
- Knowledge of tendering platforms (e.g Nest).
Working Conditions:
- May require extended hours during peak tender periods.
