Job Summary:

We are seeking a highly organized and detail-oriented Contracts and Tender Officer to oversee the preparation, review, and administration of contracts and tender submissions. This role requires a strong understanding of procurement and legal compliance, attention to detail, and excellent coordination skills. The successful candidate will play a key role in managing bidding processes, drafting contracts, and ensuring the company’s compliance with regulatory and contractual obligations.

Key Responsibilities:

  • Identify and analyze relevant tender opportunities from government, commercial, and private sector clients.
  • Coordinate the end-to-end tender process including RFI, RFP, RFQ, and ITT submissions.
  • Review tender documents, terms, and conditions to assess compliance and commercial risk.
  • Prepare and compile high-quality tender responses and proposals, including technical, financial, and administrative documentation.
  • Draft, review, and negotiate contracts and service agreements in collaboration with legal and operational teams.
  • Ensure all contracts and tender documents are accurate, legally compliant, and in line with organizational policies.
  • Maintain a contracts and tenders database, tracking all key dates, obligations, and deliverables.
  • Liaise with internal stakeholders (legal, finance, sales, technical teams) to ensure timely information flow.
  • Monitor changes in tender and contract regulations and update relevant teams accordingly.
  • Assist in the development of standard contract templates and process improvements.

Requirements:

  • Diploma in Law, Sales, Marketing, Business Administration, Procurement, or related field.
  • 2–5 years of experience in tender preparation & submission
  • Familiarity with procurement regulations and tendering procedures.
  • Strong written and verbal communication skills.
  • High proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Excellent organizational and time management abilities.
  • Ability to work under pressure and meet tight deadlines.
  • Strong negotiation and analytical skills.

Preferred Qualifications:

  • Experience in industries such as Furniture, Hardware, Stationery,  General Supply, or ICT is preferred.
  • Knowledge of tendering platforms (e.g Nest).

Working Conditions:

  • May require extended hours during peak tender periods.
