Job Summary.

The Administration Assistant Officer is responsible for providing administrative and clerical support to ensure the smooth operation of office activities. The role supports day-to-day operations, including document management, office coordination, logistics, and support to other departments, contributing to efficient and professional workplace standards.

Job Descriptions.

  1. Assist with the coordination of office activities and administrative functions.
  2. Maintain and update physical and digital filing systems, records, and documents.
  3. Handle incoming and outgoing correspondence, including emails, letters, and packages.
  4. Support scheduling of meetings, preparing agendas, taking minutes, and organizing venues.
  5. Manage office supplies inventory and coordinate procurement with the supply team.
  6. Support in logistics planning for staff travel, accommodation, and event arrangements.
  7. Liaise with internal departments to ensure administrative needs are met in a timely manner. 8. Assist in maintaining employee attendance records and HR-related documentation as required.
  8. Ensure compliance with company policies, procedures, and confidentiality standards.
  9. Perform other clerical or administrative duties as assigned by the supervisor.

Requirements:

  1. Diploma or Bachelor’s degree in Business Administration, Management, Human Resource Management, or a related field.
  2. Minimum of 2 years of experience in an administrative or office assistant role.
  3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  4. Strong organizational and time management skills.
  5. Excellent written and verbal communication skills.
  6. High level of integrity, professionalism, and attention to detail.
  7. Ability to multitask and work under minimal supervision.
  8. Proficiency in both English and Swahili, with strong verbal and written communication abilities.
