Job Summary
Project Coordinator Volunteer is responsible to plan, execute and complete projects according to deadlines and within budget. The candidate is expected to acquire resources and coordinate the efforts of team members and stakeholders to deliver projects according to plan. The candidate will also manage and define the project’s objectives and oversees quality control throughout the completion of the project(s) life cycle. Creates work plans based on goals, and targets, and implements evidence-based interventions in one or more multi-sector areas, as well as modern technologies and practices. Collaborates with other sectors to integrate work plans, budgets, and multi-sector interventions, which are essential for the success and sustainability of the project.
This is a full-time position that requires 40 hours per week and is based in Dar es Salaam, Tanzania. The position reports to the Executive Director.

Responsibilities
A: Project Management:

• Manages and oversees the development of projects from initiation to completion.
• Develop and deliver a project management plan encompassing all the details of a project to the team members.
• Develops best practices and tools for project execution and management.
• Defines project scope, goals, and deliverables that support business goals and the strategic vision of management.
• Develops and delivers project plans, documentation, training, presentations and budget proposals to management and staff.
• Build, develops and grow partnerships vital to the success of the project.
• Manages the development of project teams to ensure compliance with policies and procedures; also, develops and implements process improvement plans.
• Identifies partnerships and opportunities to help achieve HERI’s strategic goals.

B: Project Administration:
• Establish a communication schedule to update stakeholders including appropriate staff in the organization on the progress of the project.
• Determine the resources (time, money, equipment, etc.) required to complete the project.
• Develop a schedule for project completion that effectively allocates the resources to the activities.
• Builds and implements or socialize the best practices for performing all tasks.
• Writes project reports for management and funders.
• Communicate with funders as outlined in funding agreements.
• Develops best practices and tools for project execution and management.

C: Proposal Management Support:
• Leads aspects of project design (such as drafting management section in a proposal).
• Lead design activities, sub-components of a larger project or overall design of some smaller awards
• Leads project design tasks and approach to project tasks and may lead project level tasks in multiple task areas.
• Involved in capture management, selects partners, and drafts team agreements and leads aspect of proposal design.
• Writes proposal sections (management, similar experience, etc.)
• Leads sub-award design and is responsible for sub-award monitoring.

D: Financial Management:
• Monitor the approved project expenditures.
• Monitor cash flow projections and report actual cash flow and variance to senior management on a regular basis (monthly/bimonthly)
• Ensure that all financial records for the project are up to date.

E: Personnel Management:
• Provide guidance and monitoring for project staff, ensuring clarity over project plans and priorities, and encouraging effective teamwork.
• Manages the development of project teams to ensure compliance with policies and procedures.
• Ensure that all project personnel receive an appropriate orientation to the organization and the project.

Qualifications:
• Bachelor Degree in Development Studies, Social Studies, Public Health, Education or any related field
• Minimum 2-3 years’ experience with Project Management or Coordination in the not-for-profit setup
• Excellent written and oral communication skills in English
• Ability to work independently and meet deadlines
• Team player

About this Role

The Grant Writer Volunteer is responsible for managing HERI Foundation’s grants-related activities that includes research and writing of grants application to a range of funders. The candidate should be well organized, focused and committed to producing high quality applications and reports to funders. Candidate should be a team player who will work with our team to identify, engage and support development of strong partnerships with funders and other stakeholders to help diversify the organization’s sources of funding.
This is a full-time position that requires 40 hours per week and is based in Dar es Salaam, Tanzania. The position reports to the Executive Director.


Responsibilities
A: Grant Research

• Undertake extensive research to identify potential grants and other best-fit funding opportunities.
• Investigate the potential opportunities and strategically prioritize applications
• Ensure all research is recorded and tracked in Google

B. Grant Writing & Reporting
• Develop high-quality grant applications and letters of interest to help diversify funding sources.
• Produce high-quality, informative and timely
• Manage and oversee the successful completion of each step in the application and reporting process, obtaining needed signatures and approvals on time.

C. Administration
• Ensure all grant deliverables, including applications and reports are recorded.
• Lead monthly grant calls to discuss calendar deliverables for current funders, as well as new and upcoming opportunities.
• Upload and maintain all grant applications and reports in the Grants folder in Google Drive.

• Organize Fundraising Events and other administrative support
