RESPONSIBILITIES AND ACCOUNTABILITIES
• Coordinate a team of staff members undertaking field activities in an assigned area or areas, such as at an airport, transit center, third-party facility, camp-based operation or sub-office, or in relation to transportation, including supporting staff development processes such as hiring, providing training, assigning duties and giving feedback to staff members on their performance on a regular basis to ensure high quality work and the accurate completion of field support activities.
• Coordinate the efficient and effective management of airport services, including care and verification of travel documentation; assistance with airport formalities; escorts for arriving and departing individuals; ensuring individuals with special needs or equipment receive appropriate support; and sending notifications using relevant systems. Schedule daily work for Field Support staff, ensuring adequate coverage for all flight arrivals and departures based on advanced booking notifications (ABNs) and onward movements, and ensure staff have adequate power and IT availability to complete their work. Handle all urgent issues as they occur and process relevant financial paperwork in coordination with IOM management.
• Coordinate staff as they assist individuals at transit centers or third-party facilities throughout their stay. Coordinate with National Associate Movement Operations Officer to maintain an organized flow of individuals and their luggage through arrival and departure procedures at the facility; track relevant information regarding flight data and ensure team members are updated on departure times, delays and cancellations; work with staff to ensure luggage and medical checks are organized in an efficient manner; under the supervision of National Associate Movement Operations Officer, create the weekly shift schedule and assign tasks, ensuring coverage is adequate to maintain a safe, secure and clean environment; report regularly to management on long-stayers and other relevant issues, employing creative problem solving as needed to handle problems. In coordination with National Associate Movement Operations Officer, handle financial paperwork.
• Coordinate timely and adequate services for meals, snacks and water for individual staying at Transit Centers, third-party facilities or during transit in airports and other locations, ensuring staff members work closely with the service provider to ensure meals are culturally appropriate and to reduce the level of waste while keeping the quality of the food at the highest standard.
• Coordinate pre-departure formalities including but not limited to travel loans, luggage, prohibited items, bag tags and clothing/shoes. Schedule and supervise daily discussions with individuals staying in facilities on cleanliness, litter and hygiene. Ensure all posters and informational messages are up-to-date and placed in visible locations.
• Provide oversight at transit centers and third-party facilities for extended periods of up to 12 hours and during overnight periods, ensuring the needs of individuals are met throughout their stay. Communicate promptly with third-party facility representatives and/or management if issues arise.
• Supervise the coordination of transportation from consolidation points, transit centers and third-party facilities, including liaising with service providers, supervising staff as they ensure the identity verification, readiness and organization of individuals being transported, and preparing and supervising relevant briefings. Ensure baggage sorting, tagging and handling is done appropriately and that staff members arrange for individuals to be escorted on transportation as needed. Ensure persons with special needs are provided with appropriate services and report any issues to supervisors immediately.

• Provide technical support to grants on donor & partnership compliance efforts (assess, set policies & controls, measure, monitor and enforce).

• Ensure grants compliance regulations are included in start-up workshops for all grants for building staff capacity
• Act as a focal point for WVT on all donor compliance requirements, ensuring that staff and partners are correctly informed of donor requirements and are fully capacitated to ensure compliance
• Manage compliance related and reputational risks by proactively monitoring compliance, identifying issues in a timely manner and working with colleagues to resolve them.
• Ensure effective coordination and problem solving between teams, involving Senior Grants Operations Manager, Operations Director, Procurement Manager and Resource Development and Program Quality Director
• Standardize approaches to grant compliance by developing and applying compliance review tools to all grants
• Extract, synthesize & communicate donor compliance guidelines to all grant teams and partners.
• Detail WVT/SO reporting requirements to project teams and partners
• Review and finalize customized closeout checklists for grants
• Make regular visits to grants and conduct cite verifications to verify grant compliance to both WVT and implementing partners.
• Develop tools to monitor grants compliance (compliance checklists, dash boards etc.) and ensure regular reporting
• Deliver on site grant management and compliance training tools.
• Develop & roll out grant checklists (compliance checklists, closeout checklists).
• Report on Grants Compliance
• Work with teams to conduct grants reviews (Quarterly reviews, steering committee reviews/ Reflection meetings)
• Ensure full implementation of compliance review action plans

JOB DETAILS:

MAJOR RESPONSIBILITIES.

• Coordinate and manage the Responsible Reintegration project work for SOS Children’s Villages in Tanzania
• Support and supervise project officers’ project activities as national lead including taking overall responsibility for the reintegration coordination and technical capacity building of program staff supporting the reintegration in the field
• Spearhead the process of the design of a local data management systems and procedures for reintegration
• Ensure documentation and the organization of paper-based information are up-to-date.
• Use the database to monitor adherence to procedure on individual cases and ensure that roles and responsibilities are upheld.
• Leads national project team and drives project implementation according to plan, involving relevant staff, government and national CSO representatives.
• Provide thematic expertise on protection of children and young people, child empowerment, and family strengthening in the context of reintegration.
• Ensure that reintegration-focused child protection, livelihoods and otheryouth and family empowerment activities are implemented in a coordinated, mutually-supportive manner with relevant stakeholders.
• Act as SOS Children’s Villages focal point for reintegration project initiatives with SOS Children’s Villages in Tanzania.
• Ensure that procedures for the reintegration of children and youth are compliant with national and organizational legislation, standards, and policies
• Ensure project implementation is in accordance with project plan, donor proposal and partnership agreement.
• Submit progress reports as well as provide input for annual donor reports to the Regional Project Lead.
• Regularly updates the Head of Programs and relevant National Office departments of project developments and activities.
• Ensure formal and informal meetings with the Head of Programs and other National Office department heads for information sharing and decision making.
• Seek technical guidance/support from the Head of Programs on a regular basis.
• Participate in national platforms at addressing child vulnerability issues affecting beneficiaries of SOS target group and promotes the work of SOS to various organizations and communities.
• Build strong working relationships with national / location program managers
• Represent the project as well as the SOS Children’s Villages Tanzania at internal and external meetings, conferences, and thematic coordination platforms
