Background

NMB Bank Plc is seeking a highly organized and detail-oriented Specialist; Collateral Administration to support the effective administration and monitoring of collateral under Collateral Management Agreement (CMA) structures. The role is responsible for ensuring that all collateral documentation, credit conditions, and regulatory requirements are fulfilled before facility utilization and drawdown processing.

The successful candidate will play a critical role in safeguarding the bank’s secured lending portfolio by coordinating collateral management activities, maintaining accurate records, monitoring compliance requirements, and engaging with both internal and external stakeholders. This position requires strong analytical skills, a thorough understanding of collateral management practices, and the ability to ensure strict adherence to risk management and operational control frameworks.

Responsibilities

  • Ensure all credit approval requirements and Conditions Precedent (CPs) related to CMA facilities are fulfilled before submitting drawdown requests.
  • Verify compliance with approved lending terms and collateral requirements before facility utilization.
  • Review and maintain all CMA documentation, including tripartite agreements, insurance documents, contracts, and stock reports.
  • Ensure collateral documentation is complete, valid, accurate, and compliant with bank policies and procedures.
  • Verify stock reports, insurance coverage, and collateral-related documentation before the release of stock or facility utilization.
  • Monitor collateral quality through review and reconciliation of CMA stock reports.
  • Reconcile stock positions against approved facility limits and borrower utilization levels.
  • Maintain accurate collateral records within core banking systems, collateral management tools, and tracking systems.
  • Ensure stock values, insurance details, and collateral information remain current and accurately recorded.
  • Monitor compliance with CMA procedures, regulatory requirements, risk controls, and audit recommendations.
  • Coordinate collateral verification activities with auditors, regulators, collateral managers, and other stakeholders.
  • Organize and coordinate meetings with collateral managers and relevant stakeholders.
  • Prepare meeting agendas, supporting documentation, and follow-up action plans.
  • Conduct periodic performance reviews of collateral managers and identify operational improvement opportunities.
  • Monitor warehouse stock reports and inspections to identify discrepancies, variances, or early warning indicators.
  • Escalate collateral-related exceptions, deficiencies, and risk concerns promptly.
  • Support secured lending operations through effective collateral administration and monitoring.
  • Assist in strengthening collateral management processes and operational controls.
  • Prepare reports and updates for management and relevant stakeholders.
  • Perform any other duties assigned by management.

Qualifications

  • Bachelor’s Degree in Finance, Banking, Agribusiness, Risk Management, Economics, Law, or a related field.
  • Minimum of 3 years of experience in banking or financial services.
  • Experience in risk management, compliance, credit operations, or collateral management functions.
  • Good understanding of collateral types, CMA structures, warehouse receipt systems, and stock financing.
  • Knowledge of collateral management, security perfection, and registration processes.
  • Strong understanding of credit operations, lending procedures, and credit approval documentation.
  • Knowledge of risk management frameworks, internal controls, and audit requirements.
  • Experience supporting secured lending and collateral monitoring processes.
  • Familiarity with collateral management systems and banking applications.
  • Experience with warehouse receipt financing and CMA facilities is an added advantage.
  • Strong analytical and problem-solving skills.
  • Excellent attention to detail and accuracy.
